Job Title: Heavy Check Material Coordinator

Summary: The Heavy Check Material Coordinator is responsible for ensuring the timely, efficient, and cost-effective planning, procurement, and distribution of aircraft parts and materials in support of National Airlines' heavy maintenance operations. This role is critical in maintaining material readiness during scheduled and unscheduled maintenance events, with a strong focus on compliance, operational continuity, and effective inventory management. The ideal candidate brings aviation materials experience, a strong understanding of FAA regulatory requirements, and the ability to operate in a fast-paced, collaborative environment.

Essential Functions:

  • Procure, repair, and stock aircraft components in compliance with National Airlines’ General Maintenance Manual (GMM), company policies, and FAA regulations.
  • Source and acquire materials and components at or below market value for Aircraft on Ground (AOG) and other critical maintenance scenarios.
  • Track material usage trends during heavy checks and recommend adjustments to safety stock levels to support future maintenance events.
  • Identify, source, and facilitate delivery of scheduled and unscheduled maintenance material requirements in real time.
  • Serve as the primary liaison between Maintenance, Planning, and the Heavy Maintenance Material Representatives to ensure material availability aligns with work packages.
  • Maintain daily communication with heavy check teams to address emergent needs and minimize delays in aircraft turnaround times.
  • Monitor borrowed or loaned parts and ensure timely return to vendors or lending organizations to reduce exposure to penalty costs.
  • Review and verify all parts used in maintenance are approved and properly documented; notify the Quality Assurance department for any updates required to the approved parts listing.
  • Accurately input and manage inventory data within National Airlines’ computerized inventory control system.
  • Monitor inventory levels and ensure adequate quantities of high-usage and long-lead-time parts are available.
  • Coordinate the shipping, forwarding, and routing of aircraft components to outstations or maintenance facilities as needed.
  • Deliver comprehensive shift turnover documentation to the Materials Management team to ensure continuity and awareness of open items.
  • Ensure all material handling, procurement, and tracking activities are fully compliant with company procedures and FAA regulatory requirements.
  • Maintain accurate documentation for audits, inspections, and reporting purposes.
  • Support quality control efforts and assist with ensuring alignment to internal compliance standards and industry best practices.
  • Perform additional responsibilities as assigned in support of the Materials Department and broader maintenance operations.

Qualification & Experience:

  • Bachelor’s degree in supply chain management, Aviation, or a related field preferred; 3–5 years of relevant experience may be considered in lieu of degree.
  • Minimum of 2 years of experience in aircraft parts procurement or inventory control, with preference for candidates experienced in heavy maintenance environments.
  • Must be fluent in English (reading, writing, and speaking).
  • Valid U.S. driver’s license required; driving record must meet company insurance standards.
  • Must be legally authorized to work in the United States.
  • Must successfully pass a background check, which includes drug testing, fingerprinting, and a Criminal History Records Check (CHRC).
  • Availability for domestic and international travel; as required
  • Professional appearance, positive attitude, punctuality, and consistent attendance required.

Knowledge, Skills, and Abilities:

  • Solid understanding of aircraft maintenance operations and materials handling procedures.
  • Ability to interpret and use technical manuals, including illustrated parts catalogs.
  • High proficiency in Microsoft Office applications (Excel, Word, PowerPoint).
  • Excellent communication, organizational, and interpersonal skills.
  • Ability to work independently and collaboratively in a dynamic, fast-paced environment.
  • Strong problem-solving skills and a proactive approach to operational challenges.
  • Attention to detail and commitment to accuracy in documentation and reporting.
  • Team-oriented with a strong work ethic and sense of accountability.

Travel/Other Requirements:

  • Minimal travel is required, with occasional trips to support operations or vendor interactions.

Physical Demands:

  • Must be able to lift and carry items weighing up to 70 pounds occasionally and up to 50 pounds frequently.
  • Requires standing, walking, bending, and use of standard office and warehouse equipment.

Work Environment:

  • Work is primarily performed in an office and stockroom setting.
  • Must be willing to work flexible shifts, including nights, weekends, and holidays, in support of a 24/7 operation.
