WHAT YOU CAN EXPECT:

This position reports to the Head of Estimating/Preconstruction and serves as the central hub for the bid process. The Bid Coordinator ensures that all bid-related activities—from initial solicitation to final submittal—are organized, timely, and compliant. This role focuses on administrative project management, subcontractor relations, and document control within a Commercial Construction environment.

The Bid Coordinator will handle the following responsibilities:

Bid Process Management and Execution

  • Manage the Bid Calendar: Oversee the full bid lifecycle, ensuring all internal and external deadlines are met for projects ranging from $100,000 to $10M+.
  • Document Control: Download, organize, and distribute architectural and engineered drawings, specifications, and addenda. Ensure the estimating team is working off the most current set of documents.
  • Bid Submittals: Compile final bid packages, ensuring all required forms, bonds, and technical narratives are included and formatted professionally before submission.
  • Invitation to Bid (ITB): Create and distribute ITBs via BuildingConnected or Procore; track "Will Bid" statuses to ensure adequate trade coverage.
  • Facilitate and attend preconstruction / bid job walks taking diligent notes, photo documentation of existing conditions, and creating preconstruction RFIs.
  • Compile subcontractor pre-bid RFIs, issuance to owner / client, and return responses in a diligent, timely manner.
  • Subcontractor and Vendor Relations

  • Outreach: Proactively call and email subcontractors to encourage participation and confirm scope coverage.
  • Prequalification: Assist in maintaining the subcontractor database and ensuring all vendors meet company qualification standards.
  • Bid Leveling Support: Organize incoming subcontractor quotes and assist Estimators in "leveling" bids to ensure all scopes are complete.
  • Meeting Coordination: Schedule and coordinate job walks, pre-bid meetings, and internal "kickoff" sessions between Estimating and Project Management.
  • Risk Management and Quality Control

  • Administrative Compliance: Review contract documents and bid forms to identify mandatory requirements (e.g., local hiring goals, DBE/SBE requirements, or specific bonding levels).
  • Records Management: Maintain detailed and organized digital archives of all historical bids, "lost" bid feedback, and pricing data.
  • Scope Assistance: Assist Estimators in performing basic takeoffs or "spot-checking" drawings for missing information.
  • Cross Funtional Collaboration

  • Liaison: Act as the primary point of contact for General Contractors, Owners, and Subcontractors regarding administrative RFI’s and bid status.
  • Value Engineering Support: Assist in gathering alternative material pricing or lead-time data for cost-optimization efforts.
  • Turnover Facilitation: Organize the "bid-to-field" transition, ensuring Project Managers receive all relevant subcontractor quotes and finalize bid documents.
  • Tools, Systems and Technical Expertise

  • Project Management Software: Proficiency in Procore, Building Connected, and Bldr.
  • Document Management: Advanced proficiency in Bluebeam, Adobe Acrobat, and MS Excel.
  • Communication: High proficiency in MS Outlook and MS Word for drafting professional bid narratives and cover letters.
  • Scheduling: Working knowledge of MS Project to assist in creating preliminary bid schedules.
  • YOU WILL HAVE THE FOLLOWING SKILLS AND EDUCATION:

  • Education: Bachelor’s degree in construction management, Communications, or Business (or equivalent industry experience).
  • Attention to Detail: Absolute precision in reviewing bid forms and managing complex document sets.
  • Communication: Exceptional verbal and written skills; must be comfortable "working the phones" to follow up with subcontractors.
  • Blueprint Literacy: Proven ability to read architectural blueprints to identify trades and project scopes.
  • Multitasking: The ability to manage multiple bid deadlines simultaneously without sacrificing quality.

    The US base salary range for this full-time position is $75,000 - $90,000 annually. Full-time positions will be eligible for a full healthcare benefit package after 60 days of employment and a safe harbor company 401k match starts after 90 days of employment. Our salary ranges are determined by role, level, and location. Individual pay is determined by work location and additional factors, including job-related skills, experience and relevant education or training. Full-time is defined as regularly working 30+ hours per week.
