Position Summary:

In the position of Data Specialist and SCO, you’ll be a trusted resource for students, faculty, and staff — handling everything from transcript requests and degree verifications to diploma processing and academic records management. You’ll also play an important role as our School Certifying Officer, certifying veteran and military-connected students for their educational benefits and answering VA questions. Reporting directly to the University Registrar, you’ll be part of a collaborative, service-minded organization that genuinely values putting students first. TYPE OF SUPERVISION RECEIVED: General direction and supervision received from the University Registrar.

POSITION DUTIES AND RESPONSIBILITIES:

Essential Functions of the Position:

  • Administer all veteran and military educational benefit programs
  • Manage the registrar email account, answers phone, and assists office walk-ins
  • Transcript & degree verification processing
  • Manages diploma processing, packaging and mailing
  • Purchasing agent for the office - maintain internal and external office supplies and commencement related purchasing
  • Perform various day-to-day office administrative functions to include but not limited to
    • customer service
    • the collection, verification, review and processing of student and faculty documents within established regulations and procedures; applies relevant policies and procedures relating to requests and verifications
    • organization and maintenance of record keeping systems that include both hardcopy and computerized records; enter and retrieve data to create standard and special reports; document and cross-reference data; screen and record information; respond to standard information requests; answer questions, explain policies or procedures. '
  • Contribute to the review of service functions and interactions of the Registrar's Office to increase efficiency and consistency in policies and procedures between all Colleges of the University
  • Other duties as assigned.
SPECIAL CONDITIONS OF EMPLOYMENT: Must successfully complete background check; valid driver's license

POSITION SPECIFICATIONS AND REQUIREMENTS:

Previous Experience: Administrative, customer service, or office experience is preferred, but we welcome applications from candidates who demonstrate strong organizational skills and a willingness to learn. The right individual has a genuine desire to serve students and faculty in a personable and professional manner, possess strong interpersonal communication skills, and can think and work both independently and as part of an office team. Familiarity with Microsoft Office (Word, Excel, Outlook) is helpful; training will be provided on university systems and specialized software. The successful individual is ethical, detail oriented, self-motivated, and proactive, with a demonstrated flexibility in managing a variety of tasks in a time-sensitive environment.

Knowledge and Education: A Bachelor’s degree is preferred, or an equivalent combination of education and relevant work experience. Candidates with an associate degree or significant transferable experience are encouraged to apply.

Physical Activity/Effort: Physical strength/endurance to enable him/her to perform/participate in 'the following activities:
  • Physically able to lift various materials up to 25 pounds on an occasional basis.
  • While performing required job tasks, physically able to remain seated, frequently to continuously.
  • While performing required job tasks, physically able to remain standing up to 15% of the time.
  • Possesses dexterity abilities required to perform typing, operate a computer and other office equipment, to perform filing, and related job responsibilities.
