The Administrative Assistant is responsible for providing support with the day-to-day administrative functions of the branch by creating and maintaining records, compiling reports, gather and process data, schedule, coordinate, and office functions correlating to the established procedures and policies.

Primary Responsibilities

  • Creates and maintains project files with supporting documentation for
  • inspection or daily query, both electronic and physical, if applicable
  • Responsible for posting, submitting, and approving payroll for field personnel
  • Ensures all vendor tickets are coded correctly and submitted to accounts payable for payment
  • Assists Project Coordinator with accurate invoicing for services provided to customers
  • Submits project cost reports to management and operations daily
  • Reconciles company credit card transactions and expense reports for field personnel
  • Other duties as assigned

Qualifications

  • Display a high level of organization and prioritization for tasks at hand
  • Demonstrates flexibility to effectively deal with changing priorities and timelines through analytical problem solving
  • Proven time management and follow-through skills with the ability to work on multiple tasks with tight deadlines
  • Ability to work both independently and in a collaborative team-oriented environment
  • Display superior written and oral communication skills and effective listening skills
  • Maintain a tactful, mature and professional demeanor with well-developed interpersonal skills, including the ability to work with diverse personnel

Education and Experience

  • A minimum of 1+ years’ administrative experience
  • High School Diploma
  • High Volume environment
  • Experience with Microsoft software such as Word, and Excel
