Job Summary: The Patient Services Specialist is responsible for maintaining the clinic front desk and providing the highest level of customer service to the SPCA of Texas’ clients.
Summary of Essential Job Tasks:
• Promptly answer and return phone calls, emails and voicemails.
• Collect and maintain an accurate record of payment, fees, and donations.
• Schedule appointments for wellness and surgery patients.
• Assist with check-in and check-out for surgical and wellness clients.
• Maintain communication between veterinarians, veterinary technicians, and clients.
• Maintain existing patient database by entering accurate information on the animals under the SPCA of Texas’ care.
• Keep current inventory of necessary program supplies and report shortages to the Manager, Medical Services.
• Protect the confidential information of clients and donors.
• Represent the SPCA of Texas by providing excellent customer service, patient care, and focus.
• Clean and disinfect lobby, and other assigned areas on a daily basis.
• Perform administrative duties relating to photocopying, compiling records, filing, tabulating numbers, posting information, distributing mail, and apply knowledge of SPCA of Texas policies and procedures to assist other functional groups as required and/or requested.
• Other administrative duties as needed.
• Actively engage with volunteers in such a way that provides support for our volunteers and staff and proactively improves our volunteer program.
• Be an ambassador for the SPCA of Texas, sharing the work and mission with your friends and family and be knowledgeable of the various ways to support our work.
Abilities Required:
• Oral and Written Expression: the ability to communicate information and ideas so others will understand.
• Monitoring: the ability to monitor and assess performance of yourself, other individuals, or organizations to make improvements or take corrective action.
• Emotional and Mental Requirements: the ability to work effectively under stressful and fast-paced conditions, including staying calm with upset clients. Ability to rapidly and accurately process information.
• Technological Requirements: Knowledge and ability to accurately work with detailed information in paper and computerized format.
Applicant Information:
• The shift time for this position is 7:30 am-4:30 pm, Monday through Friday some weekend days may be required.
• Previous receptionist experience at a doctor’s office or veterinary office preferred.
• Applicant MUST be bilingual in English and Spanish.
Normally scheduled 5 days per week, 8 hours per day between the hours of 7am and 7pm.
