Job Description

Job Summary

The Central Transport Supervisor is responsible for the daily coordination, supervision, and operational oversight of the hospital's Central Transport team. This position ensures safe, timely, efficient, and patient-centered transportation of patients throughout the hospital and associated facilities. The Supervisor provides direct leadership to Central Transport staff, coordinates daily staffing and assignments, monitors transport requests and response times, resolves operational issues, and promotes compliance with hospital policies, patient safety standards, infection prevention practices, and regulatory requirements. The Central Transport Supervisor serves as a key liaison between Central Transport and clinical departments, including nursing units, Emergency Department, Diagnostic Imaging, Surgery/Procedural areas, Rehabilitation, Laboratory, and other hospital departments. The Supervisor is expected to demonstrate strong communication, leadership, problem-solving, and customer-service skills while maintaining a safe and respectful environment for patients, visitors, and staff.

Performance: Position Specific Essential Functions

Essential Duties and Responsibilities

Leadership and Staff Supervision

  • Supervise, coach, and support Central Transport employees in the performance of their daily responsibilities.
  • Assign transport duties based on patient needs, staff availability, workload, and operational priorities.
  • Conduct daily staff huddles and communicate department priorities, staffing updates, safety concerns, and operational changes.
  • Monitor employee attendance, punctuality, productivity, performance, and adherence to hospital policies.
  • Assist with recruitment, interviewing, onboarding, orientation, training, and competency validation of new employees.
  • Provide ongoing coaching, feedback, recognition, and performance counseling as appropriate.
  • Participate in employee evaluations and disciplinary processes in accordance with hospital policy.
  • Promote teamwork, accountability, professionalism, and a positive workplace culture.
  • Ensure adequate staffing coverage and coordinate breaks, lunches, call-offs, and schedule adjustments.
  • Develop staff schedules and maintain appropriate staffing levels based on patient volume and hospital operations.

Patient Transport Operations

  • Oversee the timely and safe movement of patients between inpatient units, outpatient areas, diagnostic departments, procedural areas, Emergency Department, and other designated locations.
  • Monitor transport requests through the hospital's transport tracking or electronic dispatch system.
  • Prioritize transport requests according to patient acuity, clinical requirements, appointment times, procedural schedules, and hospital priorities.
  • Monitor response and completion times and identify opportunities to improve transport efficiency.
  • Reassign staff and adjust workflow in response to changing patient volumes and operational demands.
  • Coordinate complex or high-priority transports with nursing and clinical teams.
  • Ensure patients are transported using appropriate equipment, including wheelchairs, stretchers, beds, and other approved transport devices.
  • Ensure appropriate patient identification procedures are followed before and during transport.
  • Verify that transport staff understand special patient requirements, precautions, mobility limitations, and other pertinent information communicated by clinical staff.
  • Coordinate with receiving departments to ensure patients arrive safely and at the appropriate destination.
  • Respond promptly to delays, missed transports, urgent requests, and service concerns.

Patient Safety and Infection Prevention

  • Ensure Central Transport staff follow hospital policies related to patient identification, fall prevention, safe patient handling, infection prevention, and workplace safety.
  • Ensure staff use appropriate personal protective equipment (PPE) and follow isolation precautions as directed.
  • Promote safe use of wheelchairs, stretchers, beds, lifts, and other transport equipment.
  • Ensure equipment is inspected and maintained in a safe and operational condition.
  • Remove damaged or unsafe equipment from service and report concerns through the appropriate process.
  • Ensure appropriate cleaning and disinfection of transport equipment between patients and in accordance with hospital policy.
  • Reinforce safe patient transfer and body-mechanics practices.
  • Report patient injuries, employee injuries, safety events, equipment failures, and other incidents according to hospital procedures.
  • Participate in safety investigations, root-cause analysis, and corrective action plans when requested.
  • Maintain awareness of emergency procedures, disaster plans, evacuation procedures, and hospital emergency operations.

Customer Service and Interdepartmental Communication

  • Promote a patient-centered approach to transportation services.
  • Ensure patients are treated with dignity, courtesy, compassion, and respect.
  • Serve as a resource and point of contact for nursing units and other departments regarding transport services.
  • Communicate effectively with nurses, physicians, technicians, therapists, registration staff, and other hospital personnel.
  • Investigate complaints or service concerns and implement appropriate follow-up.
  • Maintain professional communication during high-volume and high-stress situations.
  • Promote a culture focused on teamwork, service excellence, and positive patient experiences.

Quality Improvement and Performance Management

  • Monitor department performance metrics, including transport response times, completion times, productivity, missed requests, delays, and service complaints.
  • Identify trends and operational barriers that affect patient flow.
  • Recommend and implement process improvements to increase efficiency and patient satisfaction.
  • Participate in department quality-improvement initiatives and hospital committees as assigned.
  • Prepare or contribute to reports related to department productivity, staffing, service levels, safety, and quality.
  • Use available data and operational reports to identify opportunities for improvement.
  • Assist leadership with establishing and monitoring departmental goals and performance standards.

Equipment and Resource Management

  • Maintain oversight of Central Transport equipment and supplies.
  • Ensure wheelchairs, stretchers, beds, transport monitors, lifts, and other equipment are available and appropriately maintained.
  • Coordinate equipment cleaning, inspection, repair, and replacement as needed.
  • Report equipment shortages, malfunctions, or safety concerns promptly.
  • Assist with inventory management and supply ordering.
  • Promote appropriate and cost-effective use of departmental resources.

Compliance and Documentation

  • Ensure Central Transport staff comply with hospital policies, procedures, and applicable regulatory standards.
  • Maintain confidentiality of patient information and comply with HIPAA requirements.
  • Ensure required documentation and electronic transport records are completed accurately and timely.
  • Participate in audits and regulatory reviews as requested.
  • Maintain required employee training and competency records.
  • Ensure staff complete mandatory education and annual competencies within required timeframes.

Supervisory Responsibilities

  • The Central Transport Supervisor may have direct supervisory responsibility for Central Transport Technicians and other designated transport personnel.
  • Responsibilities include:

Work Environment

  • The Central Transport Supervisor works primarily in a hospital environment and may be exposed to frequent interruptions, changing priorities, high patient volumes, and time-sensitive requests. The position may require:
  • Weekend and holiday coverage.
  • Evening or night shifts.
  • On-call or emergency response responsibilities, depending on departmental needs.
  • Extended periods of walking and standing.
  • Frequent interaction with patients, families, visitors, physicians, nurses, and other healthcare professionals.

Qualifications

Education

  • Required
    • High School Diploma, GED, or equivalent

Experience:

  • Required
    • Demonstrated ability to work effectively with patients, families, clinical staff, physicians, and hospital leadership
    • Strong verbal and written communication skills
    • Demonstrated organizational and problem-solving abilities
    • Basic communication skills and ability to learn hospital information systems and transport-dispatch technology
  • Preferred
    • One (1) or more years of experience in a hospital, healthcare, patient transport, environmental services, nursing support, patient logistics, or another healthcare support service
    • One (1) or more years of experience in a supervisory or lead role
    • One (1) or more years of experience working in a fast-paced healthcare environment

Certification/Licensure:

  • Required
    • BLS
