Summary:
The Banking Offices Administrator will be responsible for all aspects of the management of the area Banking Offices to ensure effective and efficient operations, quality of customer service, and compliance with existing regulations and policies. The Administrator will ensure that products and services are promoted and will be directly responsible for customer service at the Banking Office level. This position will serve as a direct liaison between the operations at each Banking Office and other departments within the Bank. The Administrator will work closely with Deposit Operations, Loan Operations, IT, Accounting/Finance, Training Human Resources, Compliance, Safety, and Security, and Executive Management to ensure activities are coordinated and occur smoothly and without incidence.
The Administrator is responsible for all Banking Offices operations staff and as such will ensure that appropriate training, employee evaluation, and all other activities are scheduled and conducted in accordance with Bank policies and procedures.
Essential Duties and Responsibilities: include the following. Other duties may be assigned.
- Provide guidance to Office Manager’s on policy and procedure questions, assists in Office Manager training, and serves as the primary mentor for Office Managers.
- Coordinates communication, workflow and reporting activities between departments and banking offices to ensure correct and efficient daily operations. Works closely and efficiently with all other departments in the bank.
- Reviews current procedures and provides feedback to the Training Department.
- Keeps Office Managers and department heads informed of current policies and new procedures to maintain good customer service and uniform operating methods.
- Analyzes present systems, methods, and personnel to formulate recommendations to streamline operations, automate and reduce costs. Seeks opportunities to improve office efficiencies to better serve the customers.
- Develops and audits office procedures. Ensures adherence to the internal controls associated with banking operations.
- Takes the lead in investigating and resolving complex office operational issues; handles complex customer issues and communicates with customers and/or the appropriate banking professionals.
- Communicates regularly with the SVP/Chief Operations Officer on successes, issues, concerns, ideas, and recommendations. Confers with the SVP/Chief Operations Officer and other Management team members to review achievements and discuss required changes in goals or objectives resulting from current status and conditions.
- Coordinates the monthly Banking Office Managers meetings; ensures information is shared at individual office team meetings.
- Works closely with Market Leaders for Banking Office production goals. Function as Teller System Administrator.
- Oversee, implement, and make suggestions for Banking Office related projects.
- Monitors banking office performance in various operational metrics, including office profitability, and develops recommendations for change as appropriate.
- Manages all banking offices of the Company to ensure operational practices follow regulatory procedures and security standards.
- Maintains knowledge of security and safety policies and adheres to procedures; works closely with the BSA Officer/Safety & Security Officer to ensure that employees are properly trained and made aware of any changes to procedures.
- Assist Compliance Officer to ensure policy and procedures are in adherence with applicable rules and regulations and that employees are trained and updated on changes.
- Function as member of Compliance, Safety and Security communication group.
- Coordinates with the marketing department to ensure solid community involvement, and volunteerism personally and within the banking offices.
- Member of the disaster recovery group and execution participant of plan if required.
- Oversees and approves schedules, paid time off requests and annual performance appraisals of Office Managers.
- Assist Training in maintaining the Banking Office and related items within SharePoint.
- Review banking office deposit exceptions monthly and contact banking offices for resolution.
- Approve weekly cash ordering from Titan, internal cash movement and facilitate transport of emergency cash to Banking Offices and/or Remote ATM’s.
- Implements and manages Banking Office Incentive Plan.
- Reviews and approves invoices from the Banking Offices and submits to accounting.
- Review monthly Over and Short Report. Review and research large outages. Reports any large outages to Human Resources.
- Acts as final verifier on Wire Transfers.
- Follows and supports the Company’s policies and procedures accurately.
- Positively represents the Company’s culture and values.
- Achieves Banking Offices annual goals as assigned.
- Completes annual required regulatory and Cybersecurity training curriculums as assigned.
Supervisory Responsibilities
Manages multiple subordinates, Banking Office Managers and Banking Office Operations Specialist. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Education, Training and/or Experience
Bachelor's degree (B. A.) from four-year college or university plus one to two years related experience and/or training; or equivalent combination of education and experience.
Language Skills
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest, commissions, ratios, fractions, proportions, and percentages. Ability to apply concepts of basic algebra.
Reasoning Ability
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
