Job Description
KALLE USA LLC is a manufacturer of food packaging in the North Suburbs that has an immediate need for a Customer Service Representative.
JOB PURPOSE: Provide exceptional customer service by responding to customer inquiries and processing customer orders accurately and efficiently. Ensure all interactions are timely, professional, and customer focused while supporting internal departments to meet customer and company standards.
ESSENTIAL FUNCTIONS:
- Manage multiple tasks simultaneously, including answering emails, phone, and entering customer orders.
- Enter and process customer orders accurately using the company’s order management system (SAGE and M2M).
- Perform basic word processing, data entry, and other computer based administrative tasks.
- Utilize basic math skills and calculators to accurately process customer orders.
- Verify material availability and coordinate with production schedulers.
- Coordinate with outside warehouses for shipment of stocked material and monitor inventory.
- Respond promptly to customer inquiries regarding order status, expediting delivery, material availability, product information and complaint resolution.
- Provide requested documentation, including Certificates of Analysis (COAs), packing slips, invoices, and related records.
- Support Sales Representatives with customer questions and order related requests.
- Assign and process return material authorizations and coordinate with shipping, QC & accounting.
- Maintain work emails and word documents in shared paper-less drive as required in customer service.
- Maintain an organized workspace and accurate work records.
- Review all work for accuracy before submission.
- Communicate professionally and respectfully with customers, vendors, co-workers, and management.
- Comply with all company policies, procedures, work instructions and standards.
- Successfully complete all required onboarding, departmental, company-wide, IT, and safety training.
- Support product development initiatives by ensuring all materials are available to fulfill launch requirements.
REQUIRED COMPETENCIES, KNOWLEDGE, SKILLS AND ABILITIES:
- Retains and comprehends information to receive and follow instructions, read, interpret, compare and analyze data, identify issues requiring further attention, correct issues in his framework of responsibility and communicate with others to provide or obtain information.
- Demonstrates adaptability and flexibility to changing priorities, deadlines, demands and assignments while maintaining cohesive and harmonious working relationships.
- Communication skills: Ability to read, analyze and interpret general business documents. Ability to write clear, concise, professional correspondence. Ability to effectively present information and respond to questions from groups of managers and peers. Ability to explain information in a clear and impartial manner.
- Work approaches: Routinely interacts with employees within own department; routinely interacts with others in the organization
- Establishes and maintains collaborative working relationships with others related to learning, problem solving, backup support and fostering team support.
- Completes required documentation
- Excellent interpersonal, verbal, and written communication, and presentation skills.
- Excellent attention to detail and organizational, and analytical skills.
- Ability to prioritize tasks, meet deadlines, manage time, and work in a fast-paced environment.
- Proficiency with Microsoft Office Suite (Word, Excel, Power Point)
MINIMUM QUALIFICATIONS:
- High School diploma or GED.
- One (1) to two (2) years of related experience in customer service; knowledge of manufacturing desirable.
- Mathematical skills: Basic math computation skills with ability to understand units of measure.
- Computer skills: Knowledge of Microsoft word processing, Excel (a plus), Outlook.
Monday through Friday from 8:00am to 4:30pm.
