About the Role:
The Violation Coordinator plays a critical role in managing and resolving compliance issues related to property violations. This position ensures that all properties under management adhere to local, state, and federal regulations, as well as community policies, by coordinating inspections, documenting violations, and facilitating corrective actions. The Violation Coordinator acts as a liaison between property owners, tenants, regulatory agencies, and internal teams to effectively communicate violation statuses and resolutions. By maintaining accurate records and tracking violation trends, this role supports risk mitigation and helps uphold the company’s reputation for compliance and quality management. Ultimately, the Violation Coordinator contributes to the smooth operation of property management by proactively addressing and resolving violations in a timely and professional manner.
Minimum Qualifications:
- High school diploma or equivalent; associate or bachelor’s degree in real estate, business administration, or a related field is preferred
- Minimum of 2 years experience in an administrative assistant role
- Valid Driver's License
- Proficiency in using property management software and Microsoft Office Suite (Word, Excel, Outlook)
- Excellent communication and organizational skills with the ability to manage multiple tasks and deadlines
Preferred Qualifications:
- Florida LCAM
- Experience working with municipal or regulatory agencies related to housing and property compliance
- Familiarity with legal documentation and enforcement procedures related to property violations
- Advanced skills in data analysis and reporting tools to identify trends and support decision-making
- Demonstrated ability to work collaboratively across departments and with external stakeholders
Responsibilities:
- Monitor and review property compliance reports to identify potential violations related to safety, zoning, health codes, and lease agreements.
- Coordinate and schedule inspections with property managers, tenants, and regulatory authorities to assess and document violations.
- Communicate violation findings clearly and professionally to all relevant stakeholders, including property owners and tenants, and provide guidance on required corrective actions.
- Track the progress of violation resolutions, ensuring timely follow-up and documentation of corrective measures taken.
- Maintain detailed records of all violations, correspondence, and resolutions in compliance with company policies and legal requirements.
- Collaborate with legal and compliance teams to support enforcement actions when necessary and assist in preparing reports for regulatory bodies.
- Analyze violation data to identify recurring issues and recommend process improvements to reduce future violations.
