Description:

The Legal Operations & Compliance Specialist supports the Company's legal, compliance, licensing, risk management, and corporate governance functions across a multi-state hospitality organization. This role is responsible for coordinating corporate filings, entity management, licensing administration, contract administration, incident documentation, claims support, and compliance initiatives while ensuring legal and compliance records are maintained accurately and efficiently.

The position serves as a central point of coordination between Operations, Finance, Development, Human Resources, outside counsel, insurance carriers, governmental agencies, and third-party vendors. The Legal Operations & Compliance Specialist manages multiple projects and deadlines simultaneously, gathers and organizes critical information, identifies compliance risks, and ensures matters are appropriately tracked through resolution.

The ideal candidate is highly organized, detail-oriented, resourceful, and able to exercise sound judgment while managing confidential and sensitive information.

Essential Duties and Responsibilities

  • Legal Operations & Corporate Compliance
  • Coordinate entity formation, dissolution, annual reports, and other corporate filings
  • Manage liquor licenses, permits, certificates, and regulatory renewals across multiple jurisdictions
  • Maintain legal, compliance, licensing, and corporate records to ensure accuracy and accessibility
  • Support compliance initiatives, audits, and regulatory reporting requirements

Contract & Document Administration

  • Assist with the preparation, review, execution, and maintenance of company contracts and standardized agreements
  • Track contract renewals, obligations, deadlines, and approval workflows
  • Coordinate with vendors, outside counsel, and regulatory agencies as needed
  • Support records requests, litigation holds, and other legal administrative matters

Incident Management & Risk Support

  • Coordinate the collection and preservation of incident-related documentation, including surveillance footage, reports, photographs, and witness statements
  • Conduct initial information gathering and prepare summaries for leadership review
  • Track claims, investigations, and other risk-related matters through resolution
  • Escalate issues that may present legal, regulatory, financial, safety, or reputational risk

Process Improvement & Project Coordination

  • Manage multiple projects, deadlines, and compliance calendars across the organization
  • Follow up with contractors and vendors to ensure lease deadlines are met
  • Develop, document, and maintain standard operating procedures, workflows, and process documentation
  • Leverage technology, automation, and AI tools to improve efficiency, organization, and reporting
  • Prepare reports, dashboards, presentations, and other materials to support decision-making
  • Perform other duties and special projects as assigned
Requirements:
  • Bachelor's degree or paralegal certificate required
  • 5+ years of experience in licensing, regulatory compliance and or corporate legal support
  • Restaurant or hospitality experience highly preferred
  • Familiarity with multi-level corporate structure and multi-state business operations
  • Ability to collaborate across teams and organizational structure and to communicate effectively with individuals at all levels
  • Highly organized with exceptional attention to detail, project management, and follow-through
  • Proficient in Microsoft Office and capable of quickly learning new technology platforms and business systems
  • Comfortable leveraging AI and technology tools to improve efficiency, organization, reporting, and process execution
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Ability to handle confidential and sensitive information with discretion

Physical Requirements

  • Prolonged periods of sitting and working at a computer
  • Repetitive motion required to use a computer
  • Ability to occasionally lift up to 25 pounds
  • Ability to travel occasionally, if needed
