Job Summary

We are seeking an experienced and dynamic Practice Manager to oversee clinical and administrative operations within our Federally Qualified Health Center (FQHC)-LAL. This leadership role ensures the delivery of high-quality, patient-centered care in alignment with federal, state, and local compliance standards. The Practice Manager will collaborate closely with medical, behavioral health, and administrative teams to drive operational efficiency, staff development, and continuous quality improvement.

General Accountabilities

  • Ensure the clinic is consistently maintained in a clean, organized condition, and that all equipment is functioning properly under the guidance of the Director of Clinical Operations.
  • Manage Daily Opening & Closing: Ensure the practice is fully prepared for each day by supervising the setup of workstations, secure handling of cash drawers and deposits, completion of daily reconciliation reports, and verifying that all patient care and administrative areas are properly secured and ready for the next business day.
  • Lead daily huddles to keep staff informed of any challenges or opportunities for the day and submit weekly reports to the Director of Clinical Operations and Quality Assurance Director for PCMH reporting.
  • Stay current with the latest OSHA, HIPAA and ADA regulations.
  • Oversee the timely response to inbox messages, prescription requests, and lab results, ensuring the highest level of customer service through EHR systems.
  • Train, coach, and motivate staff on attendance, workflow efficiency, and job performance expectations and discipline staff when necessary. Manage timecards and PTO requests. Assist the Director of Clinical Operations with policy and procedure development, handle patient and staff complaints, lead staff meeting breakout sessions, and participate in interviewing as needed.
  • Collaborate with the Human Resources team to assist in interviewing and onboarding new team members.
  • Meet weekly with the Director of Clinical Operations to escalate any concerns, report praise, or discuss any other relevant issues.
  • Ensure Front-End Revenue Compliance: Oversee front desk and clinical workflows for insurance verification, accurate registration, copay collection, and charge capture to ensure clean claim submission.
  • Serve as Liaison Between Clinical and Billing Teams: Act as the key contact between on-site patient care staff and the back-end billing team to ensure timely and accurate completion of documentation, coding, and billing workflows.
  • Manages the daily operations of the clinical site, ensuring seamless integration of clinical services with administrative tasks.
  • Ensures that the Clinical Site is well-maintained, safe, and compliant with healthcare standards and regulations that follow good clinical practice.
  • Works to streamline workflows, ensuring that patient intake, appointment scheduling, and clinical services are delivered efficiently.
  • Conducts performance reviews, sets goals, and provides feedback to ensure high levels of staff performance and patient care.
  • Focuses on improving patient satisfaction by addressing concerns, reducing wait times, and ensuring a smooth patient journey from check-in to follow-up.
  • Resolves patient complaints, manages feedback, and ensures open lines of communication to foster a positive patient experience.
  • Monitors clinical outcomes, patient satisfaction, and operational efficiency to identify areas for improvement and lead quality improvement projects.
  • Works to increase patient volume by enhancing the practice’s visibility and reputation in the community.
  • Works with medical providers to develop, implement, and standardize clinical protocols and best practices for patient care.

Job Qualifications

  • Leadership Experience: At least 3 years of proven experience managing teams in high-volume, fast-paced healthcare environments with the ability to inspire, lead, and ensure effective workflow.
  • LPN Licensure: Must hold a current, active Licensed Practical Nurse (LPN) license in good standing in the state of practice.
  • Healthcare Experience: Previous experience in a healthcare setting, with a strong working knowledge of Electronic Health Records (EHR) systems and clinical operations.
  • Technical Proficiency: Expertise in EHR and practice management software. Proficient in Google Workspace, Microsoft Office Suite, insurance portals, telehealth platforms, and digital communication tools to ensure seamless daily operations.
  • Health & Safety Knowledge: Solid understanding of health and safety standards, regulations, and compliance requirements within the medical industry.
  • Operational Knowledge: In-depth understanding of organizational policies, procedures, and best practices in healthcare operations. Ability to enforce and streamline protocols to enhance efficiency and patient care quality.

  • Conflict Resolution & De-escalation: Demonstrated ability to manage and de-escalate challenging situations with patients, staff, and stakeholders, ensuring a calm and supportive environment.
  • Healthcare Finance Knowledge: In-depth understanding of healthcare finance best practices, budgeting, billing, and reimbursement procedures to ensure financial integrity.
  • Accuracy & Deadline Management: Proven ability to meet tight deadlines without compromising accuracy, ensuring timely completion of all tasks.
  • Confidentiality & Compliance: Strong understanding of HIPAA and other privacy regulations, with the ability to manage and protect sensitive patient and organizational information.
  • Adaptability to Change: Comfortable working in a dynamic, rapidly evolving healthcare environment with the flexibility to adjust to new processes, technologies, and patient care needs.

Schedule: Monday–Friday, 8:00 AM–5:00 PM
Plus one Saturday clinic per month from 9:00 AM–12:00 PM
