Job Description

Position SummaryAs part of the ship team, the Marine HR Officer reports directly to the Lead Marine Personnel Officer.
The Marine HR Officer is responsible for assigning seafarers to appropriate vessels and providing logistical support, while ensuring they meet all certification requirements. The role also supports seafarer recruitment, onboarding and training.Major Responsibilities
Marine Personnel Support
  • Treat safety and environmental compliance as a top priority.
  • Interact closely with Lead Marine Personnel Officer for personnel scheduling, assisting with crew changes.
  • Interact closely with ship’s team to nominate ports for reliefs. Act as the liaison/contact person for all officers in matters of scheduling regarding appointments to and from vessels.
  • Ensure all officers joining vessels are in full compliance with statutory and company requirements with regard to certification and training.
  • Act as the team Marine HR partner for sea staff. Forge relationships with sea staff and be the ‘go to’ contact for all employee relations matters.
  • Updating accurately movements in Compas. Ensure current crew lists are available for all team vessels within Compas.
  • Arranging support, and repatriation for crew members who have landed ashore for any reason.
  • Provide occasional cover for administrative support roles, including applications for licenses/ endorsements and visas, and issuance of joining documentation.
  • Contact for ‘After Office Hours’ for their respective Teams, as necessary.
Training Co-ordination
  • Responsible for assisting with and maintaining training plans for newly hired and newly promoted seafarers.
  • Scheduling and booking of all seafarer shore-based training based on STCW requirements and competency gap training received through CMS review, internal and external audits.
  • Follow up seafarers, make travel/flight arrangements and prepare and issue customs and immigration, visa letters and travel documents necessary for sea staff attending training.
  • Enter and maintain accurate entries of seafarer training activities and certification into the Marine HR Crew Management System.
  • Issuing, approving and accurately coding invoices to ensure correct allocating of costs and relevant expenses.
Recruitment
  • Ensure compliance with the recruitment policy and procedure.
  • Administer screening and English tests to potential new officers when required.
  • Arrange technical interviews for officer candidates.
  • Administer onboarding of successful applicants into Marine HR crew Management System and Carry out initial document checks.
  • Arrange and ensure relevant parties are made aware of new Hire orientation procedure
Requirements (Knowledge, Skills & Abilities)
  • Excellent administration skills.
  • Ability to respond positively to customers in an effective manner.
  • Demonstrates teamwork, interpersonal and communication skills.
  • Proficient in Microsoft Office applications.
  • Knowledge and experience in the marine industry.
Preferred
  • Experience in a similar role.
  • Familiar with industry regulations, for example, STCW convention and flag state regulations.
  • Knowledge of Marine Training & Certification legislation and requirements.
  • Demonstrates teamwork, interpersonal and communications skills.
