Job Description: Administrative Assistant – Dance & Performing Arts
Reports to: Director of Performing Arts
Classification: Non-Exempt | Part Time | 1040 Hours Annually | Staff
Position Summary: This role exists to support and implement the Mission of Magnificat High School. The Administrative Assistant supports the daily operations of the Performing Arts Department by providing clerical, organizational and administrative assistance to the Director of Performing Arts and Dance Team Director & Head Coach.

Major Responsibilities:
- Completes reconciliation of departmental credit card transactions.
- Assists with inventory management, including the concession stand, props/costumes, branded merchandise, equipment and resources.
- Assists in overseeing box office operations by coordinating volunteer scheduling and providing on-site supervision during open hours.
- Works directly with the Finance Department to invoice dance team participant accounts and provide accurate bookkeeping for the Dance Team and the Performing Arts Department.
- Supports the Performing Arts Director and Dance Team Program Director & Performing Arts Manager with coordinating communications and organizing events and programming.
- Perform general office duties as assigned.
- Maintain accurate student records.
- Ensure confidentiality and security of all student records.

- Completes other duties as assigned.
Work Environment:
- Ability to work extended days, evenings and weekends as needed without a typical schedule (full time and part time hours as needed and depending on the season).
- Work is performed in a typical school office environment, which may involve frequent interaction with students, staff, and parents.
- Regular activities include walking, sitting, standing, talking, listening, and engaging in face-to-face and phone communication.
- Requires frequent reading, writing, and use of fine motor skills for handling office tasks such as managing correspondence, completing forms, filing documents, faxing, copying, and typing.
- Visual focus and attention to detail are essential for reviewing documents, data entry, and operating office equipment.
- Frequent use of computers and telephones is required throughout the day.
- Occasionally may need to bend at the waist or knees or reach above shoulder level to retrieve files or access items stored on shelves.
- Ability to lift or carry moderately heavy items, such as boxes of paper or office supplies (typically up to 20 pounds), on occasion.

Requirements:Position Qualifications:
Education:
- High School diploma or equivalent required.
Work Experience:
- Previous administrative or clerical experience in a school or educational setting preferred.
- Bookkeeping experience preferred.
Skills and Competencies:
- Proficient in Microsoft Office Suite and/or Google Workspace.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
Qualities:
Ability to handle confidential information with discretion.
Friendly, professional demeanor with a customer service orientation.
Ability to work collaboratively and adapt in a dynamic school environment.
