Job Title: Office Administrator

Location: London Office – On-site 5 days a week (9 am - 12.45 pm)

Department: Business Operations

Type: Part-time, permanent

Skyports Drone Services uses drones to streamline logistics, capture data, and enhance operational efficiency, with a focus on rural deliveries, surveying, surveillance, and maritime services.

Skyports Infrastructure plays a vital role in the Urban Air Mobility ecosystem, designing, building, owning, and operating vertiports that enable eVTOL operators to take off and land in cities around the world.

The Role:

We are looking for a highly organised and proactive Office Administrator to ensure the smooth day-to-day running of our London office. This is a part-time, mornings-only role, ideal for someone who enjoys creating a well-functioning, welcoming workplace environment.

You will be the go-to person for office operations, supporting employees with administrative needs, assisting the People team, and providing occasional support to the CEO.

Key Responsibilities:

Office Management

  • Oversee the daily operations of the London office to ensure a clean, organised, and well-maintained workspace
  • Manage office supplies, including stationery, kitchen items, and general consumables
  • Coordinate regular food shops and ensure the office is stocked appropriately
  • Liaise with suppliers, cleaners, and building management as required
  • Handle incoming and outgoing post, deliveries, and courier arrangements
  • Ensure health & safety standards are maintained within the office

Administrative Support

  • Provide general administrative support across the business as needed
  • Assist with meeting room setup, scheduling, and hospitality arrangements
  • Maintain office records, documents, and filing systems
  • Support onboarding logistics for new starters (e.g. desk setup, equipment coordination)

People (HR) Support

  • Provide administrative support to the People function, including documentation, scheduling, and coordination
  • Assist with employee events, engagement initiatives, and internal communications
  • Support the maintenance of employee records and HR systems

Executive Support

  • Provide ad hoc administrative support to the CEO, including scheduling, coordination, and small project tasks

Skills & Experience

  • Previous experience in an office administration or coordination role
  • Highly organised with strong attention to detail
  • Proactive and able to manage tasks independently
  • Strong communication and interpersonal skills
  • Comfortable multitasking and prioritising in a fast-paced environment
  • Proficient in Microsoft Office (Word, Excel, Outlook) and/or Google Workspace
