Administrative Assistant
This role supports the Office Manager in running daily office operations, ensuring efficiency, and maintaining a well-organized work environment. This role blends administrative, organizational, and coordination duties, working with vendors and assisting the Office Manager with travel arrangements and itinerary management.
The ideal candidate must be a well-organized, proactive self-starter who thrives in a fast-paced environment. The individual must be able to work independently, display excellent customer service and communication skills with a strong attention to detail. If you are collaborative and team-oriented with the ability to switch gears and adjust priorities on short notice, this position is for you!
The Administrative Assistant is responsible for assisting with management and coordination of all aspects of travel arrangements to ensure smooth, compliant, and cost-effective trips for individuals or groups. Training will be provided. Duties typically include:
- Book and update flights, hotels, car rentals, and ground transportation for domestic and international travel
- Coordinate multi-stop itineraries, ensuring seamless connections and adherence to schedules
- Prepare and distribute detailed travel itineraries with confirmation numbers, schedules, and contact details
- Maintain the travel log with specific travel details and confirmation numbers
Required Skills and Training:
- Proficient computer skills, Microsoft Office with working knowledge of Excel
- Excellent oral, verbal, and written communication
- Excellent organizational and time management skills, attention to detail, and efficiency
- Ability to identify situations that may need corrective action and present recommendations
- Associate’s or Bachelor’s Degree preferred
- High school or equivalent required
This is a full-time, on-site role. Office hours are M-F, 8:30AM - 5:30PM.
