Job Description
Position Overview
The Senior Labor Coordinator is responsible for sourcing, vetting, and dispatching production grade crew for audio, lighting, video, and rigging productions, supporting the LA-based revenue team at venues nationwide. This is a senior individual-contributor role for someone who already understands the live event production market: who the good freelancers are, how the rates work, what an event-ready crew looks like, and where 3G can continue to make quality adjustments. The Senior Labor Coordinator works side-by-side with the Revenue Team, Department Directors, and Production Managers, and is the single point of accountability for crew quality and reliability across every active show in the assigned Revenue Team's pipeline.
General Tasks / Duties
Below is a general list of the tasks and duties:
- Own end-to-end sourcing of freelancers across all four 3G branches; maintain a vetted, market-priced talent bench that supports live events, festivals, and corporate productions.
- Communicate daily with the Revenue Team, Production Managers, and Department Directors; drive the conversation, capture decisions, and hold the calendar to those decisions.
- Review quotes before release, flag staffing gaps or misclassified positions, and partner with the Revenue Team to adjust crewing.
- Source, screen, and onboard new freelancers, checking skills, references, past-show performance, event-readiness, and union status where applicable.
- Drive data integrity and process discipline in Flex Rental Solutions (rental/inventory) and MertzCrew (freelancer booking, contracts, insurance, payments); own reporting accuracy.
- Solve complex crew-availability conflicts across markets, including short-fuse substitutions when a booked tech falls off a date.
- Coordinate travel, lodging, per diem, and ground logistics for crews across all four 3G markets, working with internal travel support.
- Oversee show-level payroll inputs, technician's day/hours tracking, and rate reconciliation, ensuring labor costs match the quoted scope.
- Serve as an escalation point during load-in, show, and load-out — field calls, fix rosters, and keep the show moving when the unexpected hits.
- Maintain relationships with labor agencies, unions, and industry groups to stay current on the freelance market.
Qualification / Experience
Required:
- 7+ years working inside the AVL live-event market — in roles such as Senior Labor Manager, Lead Touring Labor Coordinator, Tour Manager, Production Manager, Department Director, or Director of Labor at a production company, top-tier rental house, or major tour camp.
- Deep market knowledge: knows the freelance talent pool across audio, lighting, video, and rigging at a national level; can name the specialists in each discipline; understands pricing, union and non-union dynamics, and can tell which techs are ready for the show in front of them.
- Demonstrated ability to source and vet freelance crew at volume without sacrificing quality; experienced at building and maintaining a working roster across multiple cities.
- Working proficiency with MertzCrew and Flex Rental Solutions, or equivalent freelancer booking + rental-management platforms.
- Excellent written and verbal communication — equally comfortable on the phone with a freelancer, in a meeting with Department Directors, and writing a clean weekly staffing memo.
- Comfortable owning labor P&L implications on individual shows; able to read a quote and a show budget and reconcile them.
- High emotional intelligence and a calm, direct demeanor in fast-moving, high-pressure situations; a rock-n-roll mentality — flexible, available, unflappable.
- Live-event production background required. Touring, festival, or rental-house experience is strongly preferred.
Physical & Travel Requirements
- Office-based at one of 3G's four branches (Los Angeles preferred); periodic travel to the other branches (Las Vegas, Nashville, Atlanta) and active show sites as required.
- Event-readiness: willing to take calls and resolve staffing emergencies on evenings and weekends when a project demands it.
Schedule / Hours of Work
- Hybrid schedule designed around the live-event production calendar rather than a fixed corporate week.
- Full-time role, with a later start and end to the day, in step with the production team and crew this position works alongside.
- Busy periods require extended support outside of normal business hours, including weekend calls to accommodate staffing needs.
- Slower periods carry more grace in day-to-day working hours.
- Seasonality of the event schedule dictates the balance between the two.
Compensation / Benefits
- Base salary: $75,000 – $80,000 DOE, with consideration for candidates whose market knowledge and freelance roster justify the upper end.
- Comprehensive health, dental, and vision insurance
- 401(k) retirement plan with company match of 5%
- Paid time off and holiday schedule
- Travel and per diem for branch visits and active show-site work.
