Job Summary
The Office Coordinator / Customer Service Representative is a primary point of contact for customers throughout the collision repair process and supports the daily administrative flow of the repair center. This role coordinates repair scheduling, rental arrangements, repair orders, payments, customer updates, and insurance-related communication. The position helps create a professional customer experience while keeping front-office records and repair information accurate and organized.

Responsibilities / Essential Functions
Answer incoming calls and greet customers professionally.
Create and maintain repair orders in the shop management system.
Schedule repairs, appointments, and rental vehicles.
Coordinate routine communication with customers, insurers, and internal teammates.
Process payment receipts and support accounts-receivable follow-up.
Close repair orders and maintain complete front-office documentation.
Assist with customer vehicle delivery and final paperwork.
Prepare or support monthly reporting and administrative tasks.
Maintain a clean, organized, and customer-focused front-office environment.

Qualifications
Minimum 1 year of customer service or administrative experience in the collision repair or automotive repair industry required.
Working knowledge of repair orders, customer updates, scheduling, rental coordination, and basic insurance interactions preferred.
Experience with CCC ONE or comparable collision management software preferred.
Strong interpersonal, written, and verbal communication skills.
Patient, empathetic, professional, and comfortable working with customers during the repair process.
Organized, process-driven, and detail oriented with the ability to manage multiple priorities.
Ability to work effectively as part of a fast-paced collision repair team.
Valid driver's license required.
