The Medical Records Specialist is responsible for maintaining records for Remain at Home in a timely and accurate manner to ensure documentation flows in an efficient and effective manner. The Medical Records Specialist maintains current client information and processed and tracks medical records requiring manual and electronic scanning processes. The Medical Records Specialist screens telephone calls for non-clinical issues and transfers calls accordingly.

DUTES AND RESPONSIBILITIES:

· Maintain the medical records of Remain at Home and applicable sister companies.

· Participate in office daily operations as assigned by Authorizations Manager.

· Retrieve, sort, scan, and assemble any paper or electronic medical records into proper chart order.

· Answer phone call and transfer to appropriate staff as necessary.

· Assemble and ensure delivery of client book.

· Purge and archive medical records on an as needed basis and as recommended by Authorizations Manager.

· Scan clinical records for new and current clients upon receipt of medical records.

· Follow-up with agencies and hospitals to ensure receival of requested medical records.

· Communicate via fax with physicians’ offices to obtain current notes.

· File incoming documents daily.

· Maintain a control procedure for active client files.

· Maintain a tracking system to ensure clinical records are current, according to company procedures and regulatory accreditation requirements.

· Other duties, as assigned.

REQUIRED EDUCATION:

· High school diploma or equivalent

REQUIRED EXPERIENCE:

· Strong verbal and written communication skills

· One year working in a medical office environment-secretarial experience preferred.

· Strong organizational skills.

· Ability to utilize office equipment without extension oversight.

· Proficiency in Microsoft Office suite software.

· Ability to manage multiple tasks and meet deadlines under time pressure.
