Recruiter and Admin Coordinator

NXA is seeking a Recruiter & Admin Coordinator to play a key role in attracting top talent while also supporting the day-to-day operations of the office. This dual-role position is essential to ensuring both a strong hiring pipeline and a well-organized, efficient workplace.

Responsibilities
Recruiting & Talent Acquisition
- Lead and manage the full recruitment lifecycle from sourcing to onboarding
- Partner with hiring managers to develop job descriptions and hiring criteria
- Post and manage job advertisements across platforms
- Screen applications and identify qualified candidates
- Schedule and coordinate interviews
- Assist in conducting interviews alongside leadership
- Support offer process including compensation recommendations and start dates
- Ensure compliance with employment laws and company policies
- Attend job fairs and recruiting events as needed
- Continuously improve recruiting strategies and processes
Administrative Coordination & Office Operations
- Oversee daily office operations, ensuring organization and efficiency
- Maintain office supply inventory, ordering, and budget tracking
- Serve as point of contact for vendors and service providers
- Manage incoming/outgoing mail, shipments, and logistics
- Answer and direct incoming phone calls
- Coordinate and maintain lobby and conference room readiness
- Organize and execute company events, meetings, and employee engagement activities
- Manage NXA logo wear inventory and distribution
- Support HR communication initiatives and internal engagement boards
- Run occasional errands to support office and team needs
Office Safety, Compliance & Culture
- Support office safety protocols and compliance initiatives
- Help manage building access, visitor protocols, and security measures
- Promote a positive company image internally and externally

- Identify opportunities for improvement and recommend process enhancements
Requirements
- Experience in recruiting, administrative coordination, or similar role
- Strong organizational and time management skills
- Excellent communication and interpersonal skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with Microsoft Office and recruiting platforms
- High level of professionalism and discretion with sensitive information
- Ability to work cross-functionally with leadership and team members
- Pre-employment drug screen and background check required
