Position Summary
This is a 100% onsite position in Salt Lake City, UT
The HR Specialist provides both administrative and operational support to the Human Resources function. This role supports day-to-day HR processes while also serving as a resource for employees on routine HR matters, with a deeper focus on benefits and leave administration.
The HR Specialist reports to and works closely with the U.S. HR Manager to ensure accurate HR administration, compliance, and employee support. The ideal candidate is detail-oriented, problem solving, dependable, and capable of managing multiple priorities while maintaining confidentiality and professionalism and brings developing subject matter expertise in employee benefits.
Responsibilities
HR Operations & Employee Support
- Serve as a point of contact for employee HR inquiries, resolving or escalating complex issues as needed.
- Provide guidance to employees on routine HR policies, procedures, and programs.
- Support onboarding processes, including coordinating new hire activities, documentation, benefit enrollment and system setup.
- Assist with offboarding processes, including termination paperwork and exit procedures.
- Support HR projects and initiatives, including audits, reporting, and process improvements.
HR Administration & Data Management
- Enter, maintain, and audit employee data in the HRIS system (DayForce experience preferred) to ensure accuracy.
- Maintain personnel records in compliance with company policies and legal requirements (Personnel, I-9, EEO, and Medical files).
- Process employment verifications, status changes, and routine documentation requests.
- Assist with maintaining confidentiality of all employee records and HR matters.
Benefits, Payroll & Leave Support (SME Focus)
- Under the direction of HR Manager, serve as a primary resource for employee questions related to benefits programs, including medical, dental, vision, life, and retirement plans.
- Administer employee benefits, including enrollments, life event changes, and open enrollment processes.
- Maintain strong working knowledge of benefit plan structures, eligibility rules, and compliance requirements (ACA, COBRA, HIPAA, etc.).
- Partner with benefits brokers and vendors to resolve issues, reconcile discrepancies, and ensure accurate plan administration.
- Assist with benefits reporting, audits, and compliance filings as needed.
- Support payroll processes by preparing and validating employee data changes and responding to inquiries.
- Help coordinate leave administration, including tracking leave requests and supporting compliance processes (FMLA, ADA coordination, etc.).
- Act as a liaison between employees, payroll, and vendors to troubleshoot and resolve benefits and pay-related issues.
Offboarding Support
- Coordinate employee offboarding processes, including preparation of termination documentation and system updates.
- Ensure timely processing of employee separations in HRIS and communication with payroll and benefits vendors.
- Administer benefits continuation processes (e.g., COBRA notifications) and respond to departing employee questions.
- Conduct or support exit interviews and document feedback for reporting and analysis.
- Ensure compliance with final pay requirements, policy adherence, and company procedures.
- Maintain accurate and compliant records related to terminations and post-employment documentation.
- Partner with internal teams (IT, payroll, managers) to ensure a smooth and secure separation process.
Additional Duties
- Provide general administrative support to the HR department.
- Coordinate with internal teams and external vendors to support HR programs.
- Perform other HR-related duties and projects as assigned.
Qualifications & Skills
- 1–3 years of experience in Human Resources, with hands-on experience in benefits administration preferred.
- Bachelor’s degree preferred or equivalent work experience.
- Demonstrated knowledge of employee benefits programs and applicable regulations (ACA, COBRA, FMLA, HIPAA).
- Experience with HRIS systems; experience with ADP and/or Dayforce strongly preferred.
- Experience with benefits administration and leave of absence management (FMLA, ADA, state/local leaves) preferred
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Strong attention to detail and organizational skills.
- Ability to handle sensitive information with discretion and professionalism.
- Strong communication and interpersonal skills.
- Ability to multitask, prioritize, and meet deadlines.
- Self-motivated with the ability to work both independently and collaboratively.
- Willingness to learn and grow within the HR function.
