Job Description
The Billing Specialist is responsible for accurately and efficiently processing customer invoices for fuel deliveries and transportation services. This position requires strong attention to detail, excellent organizational skills, and the ability to work closely with Dispatch, Customer Service, Operations, Sales, to ensure all billable activity is captured and invoiced correctly and on time.
The ideal candidate is comfortable working in a fast-paced environment, handling a high volume of invoices, researching discrepancies, communicating with customers and internal departments, and taking ownership of billing issues from start to finish.
ESSENTIAL DUTIES & RESPONSIBILITIES
• Review completed delivery orders for accuracy and completeness prior to invoicing.
• Verify gallons delivered, delivery locations, products, rates, fees, and applicable fuel surcharges.
• Ensure minimum freight charges, fuel surcharges, split fees, additional stops, waiting time, and other applicable charges are billed correctly.
• Review orders for proper pricing and customer-specific billing requirements.
• Maintain and update customer billing information and special billing instructions.
• Identify and correct billing discrepancies before invoices are sent to customers.
• Process credit memos, rebills, and invoice corrections as needed.
• Maintain billing spreadsheets, reports, and tracking documents.
• Work closely with Dispatch to resolve missing or incorrect delivery information.
• Ensure invoices are submitted through customer-specific portals or email processes when required.
• Monitor outstanding billing items and follow up on missing information.
• Assist with month-end billing and closing procedures.
• Maintain organized records of invoices, supporting documentation, and billing correspondence.
• Review Keep-Fill and Call-In customer designations to ensure the correct billing method is applied.
• Follow all company policies, procedures, and internal controls.
