Position Summary:
The Pre-Construction Coordinator plays a critical administrative and coordination role within the Estimating and Revenue Operations team at Eskola Roofing & Waterproofing. This position ensures the smooth operation of pre-construction processes by managing key systems, portals, compliance documentation, prequalification processes, and communications across internal teams and external stakeholders. The Pre-Construction Coordinator supports estimators, sales staff, and leadership by maintaining organized, auditable, and centralized resources that enable efficiency, compliance, and successful project pursuit.
Key Duties and Responsibilities:
System & Portal Administration:
- Act as administrator for departmental systems and portals, including Bluebeam, Building Connected, GBE, Teams, Estimating distribution lists, Connect Explorer, Eagleview, TX Ethics Commission, and HubSpot.
- Maintain active user logins and update access for employees across branches.
- Coordinate with Construct Connect administrator to manage logins and service areas.
- Manage company plan room logins, ensuring up-to-date and accessible records.
Onboarding & Support:
- Support onboarding of new estimators and sales staff by coordinating system access, directory inclusion, and tool setup.
- Provide training guidance and initial support for pre-construction platforms and portals.
Document Control & Compliance:
- Maintain and update prequalification documents (W-9, legal, financial, insurance, etc.) and store copies in centralized employee-accessible locations.
- Obtain, update, and file manufacturer letters, warranties, and portal requirements.
- Order bonds, maintain bid bond logs, and coordinate notarization/signature collection for bid documents, affidavits, and bonds.
- Administer and update Revenue Operations SharePoint site in conjunction with leadership.
Communication & Coordination:
- Monitor Estimating RFQ email inboxes and distribute bid invitations to branches and estimators.
- Assist with communication from third parties to estimators and ensure proper routing.
- Manage and update internal and external directories, including branch lists, regional maps, and employee rosters.
- Obtain project references, case studies, and photos, and centralize the information for business development and marketing use.
Prequalification & Vendor Management:
- Coordinate prequalification submissions and vendor registrations with general contractors, clients, and third parties.
- Track deadlines and ensure required documentation is current, accurate, and submitted on time.
Position Requirements and Qualifications:
Education and Experience:
- Bachelor’s degree in Business Administration, Construction Management, or related field (preferred).
- 2+ years of experience in construction administration, pre-construction support, or related role.
- Must be able to successfully complete a pre-employment background check and drug screening as a condition of hire.
- Must possess a valid driver’s license and a dependable personal vehicle to travel to job sites as required.
Skills and Competencies:
- Proficiency in Microsoft Office Suite, SharePoint, and industry platforms (e.g., Bluebeam, Building Connected, Eagleview).
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
Preferred Skills & Certifications:
- Familiarity with commercial roofing and waterproofing systems (TPO, EPDM, PVC, modified bitumen, BUR, metal) at a level sufficient to credibly support and evaluate technical conversations.
- Notary certification (preferred or ability to obtain).
