Job Description
Based in Cranston, Rhode Island, Met-Cap Management, LLC is the core of a diverse portfolio of owned and operated businesses. Our operations include a successful chain of multi-branded retail stores, two bi-coastal B2B and D2C global distribution and fulfillment centers, the development and go-to-market strategies for several proprietary brands, and a robust property management division.
We are currently seeking a highly organized and proactive Executive Assistant to support our Chief Operating Officer (COO). This role is ideal for a dynamic individual capable of managing a broad range of executive and personal tasks with professionalism, efficiency, and a commitment to confidentiality.
Essential Functions:
- Provide high-level administrative support to the COO, including managing calendars, scheduling meetings, and coordinating travel.
- Prepare reports, presentations, and meeting materials, ensuring accuracy and professionalism.
- Serve as a liaison between the COO and internal/external stakeholders, facilitating effective communication and timely responses.
- Handle personal tasks for the COO, such as managing household staff, scheduling appointments, and coordinating family events.
- Maintain the COO’s personal calendar to ensure a seamless integration of personal and professional commitments.
- Assist with special projects, including research, event planning, and project coordination as assigned by the COO.
- Track and follow up on various tasks and projects, ensuring timely completion and proactive communication on any delays or issues.
- Organize and coordinate meetings and special events, handling scheduling, logistics, and agenda preparation.
- Handle sensitive information with utmost confidentiality and discretion.
- Maintain a high standard of professionalism in all interactions, both internal and external.
- Perform additional duties as assigned.
- A minimum of 5 years of experience as an Executive Assistant, Personal Assistant, or in a similar role.
- Strong organizational and time-management skills with the ability to prioritize and work independently.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Demonstrated ability to handle confidential information with discretion and integrity.
- Flexibility and adaptability to shifting priorities and demands.
