About the role
We are looking for someone who is highly organised, proactive and thrives in a busy specialist medical environment. You will enjoy being the central point of coordination for a leading fertility specialist and take pride in ensuring each day runs smoothly for both the doctor and their patients.
Working collaboratively within the City Fertility Gregory Hills clinic, you will be providing support to the Patient Services team during busy periods and assisting with general front of house and administrative duties as required.
What you'll do
- Manage the day to day diary and consulting schedule for an Associate Professor and Fertility Specialist
- Coordinate patient appointments, procedures and follow up care
- Liaise with patients, hospitals, referring practitioners and the wider clinical team
- Prepare consultation lists, correspondence and medical documentation
- Prioritise urgent requests and ensure the specialist's daily schedule runs efficiently
- Coordinate consulting sessions across Gregory Hills and Bowral
- Provide exceptional customer service while supporting patients throughout their fertility journey
- Assist with general administrative duties and contribute to the smooth operation of the practice
What we are looking for
- Previous experience as a medical secretary, specialist secretary or executive assistant (specialist practice experience highly regarded)
- Exceptional organisational and time management skills with the ability to manage multiple competing priorities
- Experience coordinating busy clinician schedules, appointments and theatre or procedure lists
- Outstanding communication skills with a warm, compassionate and professional approach
- The ability to anticipate the needs of a busy specialist and work proactively with minimal supervision
- Excellent attention to detail and the ability to maintain accuracy in a fast paced environment
- Strong administrative and computer skills, with experience using medical practice software (Clinic to Cloud or Gentu experience highly regarded)
- A calm, solutions focused approach when managing changing priorities and urgent requests
- The ability to build strong relationships with patients, nursing staff, administration teams and referring doctors
- A current driver's licence and willingness to regularly work across our Gregory Hills and Bowral consulting locations
