Job Title: Trauma Registrar

Requisition Number:R161748 Trauma Registrar (Evergreen) (Open) How You’ll Help Transform Healthcare:The Registrar for Trauma Services is responsible for medical record analysis, data abstraction, and overall data management specific to the trauma patient. Must perform functions consistent with the registrar requirements for Level Three Trauma Center accreditation as stated in the Hospital Resource Manual and participate in activities essential for the maintenance of a Level Three Trauma Center in the Commonwealth of Virginia. Uses technical expertise to execute all data management activities with focus on maintaining the Trauma Registry database through data abstraction.

The Registrar

  • As a team member of the Trauma Services is responsible for medical record analysis, data abstraction, and overall data management specific to the trauma patient. Must perform functions consistent with the registrar requirements for Level Three Trauma Center accreditation as stated in the Hospital Resource Manual and participate in activities essential for the maintenance of a Level Three Trauma Center in the Commonwealth of Virginia.
  • Uses technical expertise to execute all data management activities with focus on maintaining the Trauma Registry database through data abstraction. Utilizes expertise in ICD-9 Coding principles, Abbreviated Injury Scale, E-codes and interpretation of Emergency Medical Services prehospital reports. Must have a strong command of medical terminology and human anatomy and physiology in assuring accuracy and consistency of data.
  • Provides staff support for the trauma service Program Director and Trauma Program Manager. Assists with organization and coordination of various trauma related conferences and maintains conference minutes.
  • May design and/or generate trauma-related reports for medical and other professional staff in accordance with guidelines for requesting Trauma Registry Data. Submits all required trauma data to the State Registry in a timely and accurate manner. Good working knowledge of computer software including, but not limited to, word processing, spreadsheet, and database in presentation of the data.
  • Participates in community education and outreach activities as requested. Provides injury prevention written material as requested for patients, families and the community.
  • Organizes educational presentations, exhibits, and community events for professionals and the community; and represents Carilion Clinic at conferences and professional meetings.
  • Promotes programs and arranges exhibits at various community presentations and events in collaboration with the management team and Strategic Development.
  • Performs office functions as defined by the department including, but not limited to: scheduling appointments; answering calls; collecting, maintaining, and analyzing data; develops documents, spreadsheets, and other tools as applicable to the department population.
  • Participates in department and program performance improvement initiatives.
  • Performs first level medical record reviews in the trauma patient population. Collects relevant patient data in accordance with accepted guidelines.
  • Develops, runs, and maintains reports based on state audit filters as directed by the Trauma Program Director and Trauma Program Manager.
  • Actively participates in quality improvement projects as requested by the Trauma Program Director and Trauma Program Manager.
  • As a member of the Pediatric Trauma Services is responsible for medical record analysis, data abstraction, coding and overall data management of audit filters and pediatric trauma specific quality indicators. Must perform functions consistent with the requirements for a clinical registrar in a Pediatric trauma center as described in the Commonwealth of Virginia Hospital Resource Manual and the American College of Surgeons Resources for Optimal Care of the Injured Patient manual. Must participate in activities essential for the maintenance of a Pediatric trauma center in the Commonwealth of Virginia.
  • Uses technical expertise to execute all data management activities with focus on maintaining accuracy and currency of the Trauma Registry database. Utilizes expertise in ICD-9 and ICD-10 coding, Abbreviated Injury Scale and E-codes to describe patient injuries in the trauma database. Reviews and interprets a variety of documentation such as the Emergency Medical Services prehospital report, operative and consultation reports and discharge summaries. Must have strong command of medical terminology and human anatomy and physiology.
  • Provides staff support for the pediatric trauma service and Pediatric Trauma Coordinator. Assists with organization and coordination of various pediatric trauma related activities.
  • May design and/ or generate trauma-related reports for medical and other professional staff in accordance with guidelines for requesting Trauma Registry Data. Assists in submitting all required trauma data to National (NTDB) and State (VSTR) Registries in a timely and accurate manner. Good working knowledge of computer software including but not limited to word processing and spreadsheets. Assists in interpretation and validation of data.
  • May occasionally participate in community education and outreach activities as appropriate.
  • Provides administrative support for the Pediatric Trauma Coordinator and Pediatric Trauma Program
  • A. Tasks include typing; copying and distributing materials; scheduling appointments and organizing meetings; preparing and maintaining reports/records, calendars.
  • B. Assists with documenting physician's CME
  • C. Attends all meetings, assists with documentation of agendas and meeting minutes
  • D. Notifies committee members (Pediatric Trauma Quality and Peer Review committees and subcommittees) of meeting dates and locations 3 days prior to each meeting.
  • E. Assists with preparation of pediatric trauma site reviews and Performance Improvement Committee projects.
What We Require:

Education: High School or equivalent required.

Experience: Minimum of 2 years of experience with Health Information Management records system, Allied Health Profession, HIM coding, or like experience required for non-credentialed staff.

Licensure, certification, and/or registration: Accredited Records Technician (ART) and/or Trauma Registrar certification preferred.

Other Minimum Qualifications: Must be familiar with medical terminology and human anatomy/physiology. Must understand medical terminology and human anatomy and physiology in assuring accuracy and consistency of data. Thorough understanding of ICD-9 codes; computer applications including word processing, spreadsheet, and medical records database/system; accurate keyboarding skills; verbal & written communication skills on a level to work actively and effectively with medical and professional staff; team building and problem-solving skills. Good working knowledge of computer software including, but not limited to, word processing, spreadsheet, and database in presentation of the data. Must be familiar with access to and use of hospital data/information systems.

Compensation Range:

$21.61 - $30.25

Employee pay is based on a variety of factors, including qualifications, credentials, education, and prior work experience. The compensation range does not include benefits or pension plan.
