Job Purpose

The Accounting Clerk/Bookkeeper is a professional who is responsible for maintaining financial records, running reports, and recording a wide range of transactions. Their duties include providing administrative assistance to accountants as well as preparing statements that confirm the accuracy of database information.

Duties and Responsibilities

Our growing company is hiring an Accounting Clerk/Bookkeeper. To join our growing team, please review the list of responsibilities and qualifications.

Responsibilities for Accounting Clerk/Bookkeeper:

  • Preparation of Journal Entries and other tasks associated with month-end & year-end close.
  • Ongoing documentation of and efforts to improve systems and processes.
  • Reconciliation and Journal Entry for all Corporate Credits Cards.
  • Ongoing communication with vendors and office managers to ensure timely delivery of required invoices, approvals and backup.
  • Check bank for incoming or outgoing payments.
  • Data entry, general ledger account reconciliation, payroll and payroll tax preparation.
  • Prepare reports and summaries for supervisors and managers.
  • Monitor accounts to ensure that payments are up to date.
  • Ensure the completeness and accuracy of data on accounts.
  • Review invoices and statements to ensure that all the information appearing on them is accurate and complete.
  • Check figures, postings, and documents to ensure that they are correct, mathematically accurate, and properly coded.
  • Correct and note errors for accountants.
  • Multi-task and work under time constraints.
  • Working closely with Senior Accountant on preparation of accounts, reconciliations, journals.
  • Utilization of QuickBooks.
  • Assist in researching and resolving open payable items, respond promptly and courteously to inquiries regarding the status of invoices and employee reimbursements.

Qualifications for Accounting Clerk/Bookkeeper:

  • The ideal candidate will have a 2-year associate’s degree with 0 – 2 years of recent
  • experience.
  • Possess strong organization and analytical skills.
  • Possess a strong work ethic.
  • Self-motivated team player with the ability to work within and meet deadlines.
  • Able to communicate effectively in both verbal and written capacities.
  • Computer literate with proficiencies Microsoft Office and QuickBooks.
  • Comfortable with working in a paperless environment.
  • Maintain files of paid invoices and supporting documentation.
  • Perform special project as assigned.
  • Prepare reports as assigned including spreadsheets.
  • Administrative office tasks when needed.
  • Handle invoices for satellite divisions and other locations.

Knowledge, Skills and Abilities

  • Specific knowledge-based competencies required to satisfactorily perform the functions of the job include:
  • Able to schedule and set priorities for work to be accomplished.
  • Working knowledge of phones, computers and electronic data processing to include Google Drive and Internet experience.
  • Written and verbal communication skills, and customer service skills are essential.
  • Able to deal with problems and find solutions.
  • Proficient reading, writing, grammar and mathematics skills.
  • Able to develop and maintain effective working relationships.
  • Able to interact / communicate successfully with personnel at all levels
  • Able to work through demanding situations in a fast-paced environment.
  • Self-starter with proven organizational, and problem-solving skills.
  • Able to work in an organized manner while handling multiple tasks.
  • Able to handle multiple tasks simultaneously.
  • Able to exercise confidentiality, tact, diplomacy and independent judgment in performance of duties.
