Student Enrollment Coordinator

NOLA Public Schools Vision

Position Summary

TheStudentEnrollment Coordinator(SEC) willbe responsible forcoordinating enrollment placements forstudents and families who enroll at any New Orleans publicschoolparticipatingin the unifiedEarly Childhood and K-12enrollment systems.StudentEnrollment Coordinatorswill perform all direct enrollment services, includingnewadmissions, readmissions; early childhood eligibility verifications, placements, and waitlist management; andassistvisitors with auxiliary student services such as issuing work permits andcommunity/student outreach.The Student Enrollment Coordinatorwill need to be comfortable rotating and traveling between various Family Resource Center locations.

Essential Duties and Responsibilities

Communication-The SEC will:

  • Adhere toall Family Resource Center protocols, including providingexceptionalcustomer serviceandmaintainingaccuraterecords of incomingvisitors;

  • Communicate highly effectiveoral, written,and digitalcommunication expectationstofamilies;

  • Maintain Family Servicesexpectations forphone andvirtual calls,emails,tickets/cases, andenrollment systems (Avela,Calendly,Salesforce, Omni-Channel, Microsoft Teams, Zoom);

  • Adhere to team/department expectationsutilizedfor current and/or future enrollmentimplementations;

  • Provide interpretation/translation services tofamilies,whenappropriate.

Early ChildhoodEnrollment–The SEC will:

  • Providefamilies with objective, informed informationregardingEarly Childhood enrollment options,supporttheEarly Childhoodapplication process,andassistfamilies withwaitlist;

  • Determineapplicant eligibility for publicly funded early childhood seats by learning and understanding eligibility criteria and verifying income, residency, and other legal documents againstthosecriteria;

  • DocumenteveryEarly Childhood account/application to reflect currentfamilySNAP, verification, and in-person and virtual communicationstatuses;

  • Successfullyverify<95% ofassignedEarly Childhood applications and application documentsbased on team expectations andEC local, state, and federal verification categories.

K-12 Enrollment–The SEC will:

  • Providestudents and families with objective, informed informationregardingcitywide school choice, performingsupportof the application process, and managing mid-year and pre-year school placements for families moving to the city throughout theyear;

Community,Student, andFamily Outreach–The SEC will:

  • Participateinoccasionalevenings and/or weekend enrollment events providing supportforenrollment activities for New Orleans families and students throughout theyear;

  • SECs will attendscheduledoutreach activities per fiscal year(virtualor in-person);

  • Escalate parent and student concerns as needed to management, in coordination with district accountability offices and standards.

Coordination –The SEC will:

  • Ensure FamilyResourceCentersarewelcoming, organized, andmaintained, including keeping a tidy workenvironment;

  • Maintainsconscientious studentdatausing Salesforce and Avela enrollment platforms, in alignment with district standards and State and local student privacylaws;

  • Internalizes and implementsall district guidelinespertaining toenrollmentproceduresandparent rights and responsibilities, including State and local guidance on specific student populations, such as students with special needs, limited Englishproficiency,and early childhood educationstudents;

  • Escalates parent and student concerns as needed to theExecutiveDirector of Family Services, in coordination with district accountability offices andstandards;

  • Performsadditionalstudent services as needed, including calls and text messages, attendance at community events, work permitissuance;

  • Attends staff and other districtmeetings asnecessary;

  • Performs other duties asrequired.

Educational Background
  • A minimum of 48 college credited hoursrequired.

  • 3years of customer service experiencerequired.

  • Bilingual (English/Spanish) skills preferred.
Other Knowledge, Skills, and Abilities
  • Possesses a valid Louisiana Driver’s license without any restrictions that precludes driving on the job, will be a continuousrequirement;

  • Knowledge ofvarious servicesavailable in the local community.

- Required to use motor coordination with finger dexterity (such as keyboarding, machine operation, etc.) part of the workday;
- Required to exert physical effort in handling objects more than 30 pounds rarely;
- Required to be exposed to physical occupational risks (such as cuts, burns, exposure to toxic chemicals) rarely;
- Required to be exposed to physical environment which involves dirt, odors, noise, weather extremes or similar elements rarely;
- Normal setting for this job is an office/school setting.
Performance Evaluation
The employee will be evaluated based on the above position using either two methods: via COMPASS/LEADS or a NOLA-PS evaluating instrument. If the employee holds an Educational Leadership certification, he/she will be evaluated via COMPASS/LEADS to ensure renewal of certification.
