Status: Full-Time

Location: On-Site
Schedule: Monday–Friday with occasional evening or weekend support for special events as needed
Starting Pay Range: $56,000–$69,000 annually

Position Summary

The CRM & Data Services Manager plays a vital role in advancing Animal Friends’ mission by ensuring the integrity, security, and strategic use of donor and constituent data. This position supports fundraising, donor stewardship, volunteer engagement, and organizational decision-making by transforming data into actionable insights that strengthen relationships and drive meaningful outcomes.
As the steward of our Bloomerang CRM system, the CRM & Data Services Manager partners closely with Development, Finance, Volunteer Services, Communications, Events, and organizational leadership to establish best practices, maintain data quality, and support effective fundraising strategies. This role combines data management, analytics, donor services, reporting, and relationship support to help build the systems and insights that make our mission possible.
Success in this role requires a collaborative, detail-oriented professional who understands that quality data is both a critical business asset and a reflection of donor trust.
Primary Responsibilities
CRM Management
- Serve as the primary administrator and steward of the Bloomerang CRM system.
- Maintain accurate, complete, and current constituent records.
- Develop and implement data entry standards and quality control procedures.
- Establish and maintain data governance practices to ensure security, privacy, and compliance.
- Manage system users, permissions, and access controls.
- Stay informed on new Bloomerang features and functionality and provide training and support to staff.
Gift Processing & Donor Stewardship
- Oversee the processing and recording of all donations.
- Ensure timely donor acknowledgments, gift receipts, and stewardship communications.
- Manage gift batching and reconciliation processes in collaboration with the Accounting team.
- Customize donor communications for various gift types including major gifts, tribute gifts, recurring donations, corporate support, foundation gifts, event gifts, and online contributions.
Reporting & Data Analysis
- Produce reports and dashboards that support fundraising, donor engagement, and organizational decision-making.
- Analyze donor trends, giving patterns, campaign effectiveness, and revenue opportunities.
- Conduct database audits, duplicate management, data clean-up, and archiving initiatives.
- Translate complex data into clear, actionable insights for leadership and fundraising teams.
Event & Volunteer Data Management
- Maintain accurate records of event participants, sponsors, ticket purchasers, auction bidders, and attendees.
- Support event tracking and reporting efforts by collaborating with Events and Development staff.
- Develop post-event reports to assess fundraising performance and engagement outcomes.
- Create targeted mailing lists and donor segments for event promotion and follow-up communications.
- Partner with Volunteer Services to ensure volunteer information is accurately maintained within the CRM.
Major Gifts & Prospect Research
- Manage systems and processes for tracking major donor relationships, prospects, and stewardship activities.
- Maintain records of donor meetings, interactions, and follow-up activities.
- Support donor segmentation and personalized engagement strategies.
- Conduct wealth screening and prospect research activities.
- Identify potential major gift opportunities and provide recommendations for cultivation and stewardship.
Peer-to-Peer Fundraising Support
- Support the creation, launch, and ongoing management of peer-to-peer fundraising campaigns.
- Assist teams in effectively leveraging CRM tools to maximize engagement and fundraising success.
Other Duties

Requirements:Required Qualifications
Education
- Bachelor's degree in Nonprofit Management, Information Systems, Business Administration, Data Analytics, or a related field.
Experience
- Minimum of three years of experience in database management, CRM administration, or donor data management.
- Experience working with fundraising databases and donor management systems.
- Experience supporting fundraising, advancement, nonprofit, or mission-driven organizations.
Skills and Abilities
- Advanced knowledge of Bloomerang, including reporting, automation, integrations, and constituent management.
- Strong analytical and problem-solving skills.
- Excellent attention to detail and commitment to data accuracy.
- Strong organizational and project management abilities.
- Ability to interpret and communicate complex data effectively.
- Strong verbal and written communication skills.
- Ability to work collaboratively across multiple departments.
- Understanding of donor lifecycle management and fundraising best practices.

Availability
- Ability to occasionally support organizational events and fundraising activities outside of normal business hours when needed.
Preferred Qualifications
- Advanced experience administering Bloomerang CRM.
- Experience in nonprofit fundraising operations.
- Experience with major gift tracking, moves management, and wealth screening.
- Experience with data visualization platforms such as Tableau or Power BI.
- Experience supporting event fundraising and peer-to-peer campaigns.
- Familiarity with volunteer management systems and donor engagement tools.
- Passion for animal welfare and nonprofit mission-driven work.
