Position Summary:

The Transportation Operations Coordinator serves as the information management center of Weber's transportation operation by ensuring transportation data, documentation, customer requirements, and operational information are complete, accurate, and communicated throughout the transportation lifecycle. This position protects the integrity of the information that drives daily transportation execution, enabling dispatch, drivers, and leadership to make timely, informed decisions that result in safe, reliable, and profitable transportation services.

Customer Leadership

  • Build customer confidence through timely, accurate, and professional communication.
  • Coordinate customer appointments, delivery requirements, and transportation instructions to support successful execution.
  • Resolve routine customer inquiries while recognizing when operational issues require escalation.
  • Protect the customer experience through responsiveness, follow-through, and attention to detail.

Operational Leadership

  • Verify the accuracy and completeness of transportation orders before operational execution begins.
  • Ensure customer requirements, delivery instructions, appointments, and supporting documentation are complete, accurate, and communicated to the appropriate stakeholders.
  • Maintain the integrity of transportation information throughout the order lifecycle by identifying discrepancies and resolving them before they impact operations.
  • Monitor transportation milestones and proactively communicate information that may affect service execution.
  • Recognize information gaps, conflicting requirements, or incomplete documentation and resolve them before they become operational issues.
  • Support dispatch by ensuring accurate information is available before execution begins.

Team Leadership

  • Build collaborative relationships across Transportation, Operations, Customer Service, Billing, and customers.
  • Enable operational success by providing timely, accurate, and actionable information.
  • Demonstrate professionalism, accountability, and respect in every interaction.
  • Foster trust through consistency, responsiveness, and follow-through.

Financial Stewardship

  • Protect revenue by ensuring transportation transactions are complete, accurate, and ready for billing.
  • Reduce administrative rework through disciplined documentation and information management.
  • Support operational profitability by maintaining the integrity of transportation information throughout the transportation lifecycle.

Safety & Compliance

  • Ensure transportation documentation complies with company policies, customer requirements, and regulatory standards.
  • Maintain complete, accurate, and auditable transportation records.
  • Protect confidential customer and company information through responsible information management.

Continuous Improvement

  • Identify recurring documentation, communication, and process issues before they become operational problems.
  • Recommend practical improvements that increase information accuracy, consistency, and operational efficiency.
  • Support implementation of new customers, technology, and transportation procedures.
  • Leave every process more accurate, reliable, and efficient than you found it.
Requirements:

Qualifications:

Must Have
  • Two (2) years of progressively responsible experience in transportation, logistics, customer service, or administrative support.
  • Exceptional organizational skills with the ability to manage multiple priorities while maintaining a high degree of accuracy.
  • Strong written, verbal, and interpersonal communication skills.
  • Demonstrated ability to identify discrepancies, solve routine problems, and adapt to changing priorities.
  • Excellent attention to detail and commitment to information accuracy.
  • Proficiency with Microsoft Office, including Outlook and Excel.
  • Ability to quickly learn transportation systems, customer requirements, and operating procedures.
Good to Have
  • Experience supporting transportation or logistics operations.
  • Experience with Transportation Management Systems (TMS).
  • Experience coordinating appointments, transportation documentation, PODs, or billing support.
  • Retail, distribution, or supply chain experience.
  • Associate degree or equivalent combination of education and experience.
