Function and Scope

The MedAxiom Project Coordinator plays a vital role on the CTS team, providing project coordination, executive administrative, and operational support across various MedAxiom units, including Care Transformation Services (CTS), Revenue Cycle Solutions (RCS), Membership, Marketing, and Ventures.

This role reports directly to the EVP of Care Transformation Services and provides day-to-day project and administrative support. The Project Coordinator will work closely with the lead CTS consultant for each project, partners with teams to coordinate processes and deliver projects on time, within budget, and with desired outcomes aligned with the objectives.

The position serves as a pivotal point of coordination among internal teams, consultants, clients, members, and external stakeholders. Success in this role requires exceptional organizational skills, effective communication abilities, attention to detail, and the ability to manage multiple priorities simultaneously in a fast-paced environment.


Responsibilities


  • Coordinate project timelines, milestones, deliverables, and action items across multiple teams, initiatives, and client engagements.
  • Maintain project plans, task trackers, Monday.com boards, status reports, and project documentation to support organizational priorities and ensure timely completion of deliverables.
  • Schedule, coordinate, and facilitate meetings, including preparation of agendas, meeting minutes, and follow-up communications.
  • Monitor project progress, track key deadlines, identify potential risks or barriers, and escalate issues as appropriate to the CTS project lead.
  • Support the preparation of client deliverables, executive presentations, reports, dashboards, proposals, and other business documents.
  • Coordinate communications among internal teams, leadership, clients, members, and external stakeholders to ensure alignment and execution of project objectives.
  • Maintain project files, resource libraries, databases, and shared repositories to ensure information is accurate, organized, and accessible.
  • Provide administrative support, including calendar management, meeting coordination, travel arrangements, expense reporting, and executive correspondence.
  • Coordinate inquiries, meeting requests, and scheduling priorities while managing multiple dynamic calendars and competing priorities.
  • Track executive action items, project follow-ups, and key deadlines to ensure accountability and timely completion.
  • Manage routine correspondence, special requests, and administrative inquiries while maintaining a high-level of professionalism, confidentiality, and customer service.
  • Provide regular reports on project status to the project team and key stakeholders, presenting progress, as well as potential problems and solutions.
  • Manage relationships and communication with the staff, clients, and stakeholders, ensuring each project is delivered to satisfaction; identifies and resolves issues within the project team.

Qualifications


  • Associate degree or bachelor’s degree in business administration, Communications, Management, or related field preferred.
  • Minimum of 3 years of experience in executive administration, project coordination, operations support, healthcare administration, consulting support, or related roles.
  • Demonstrated experience supporting senior leaders, executives, or leadership teams.
  • Strong organizational skills with exceptional attention to detail and ability to manage multiple priorities simultaneously.
  • Experience coordinating projects, meetings, schedules, and deliverables across multiple stakeholders.
  • Strong written and verbal communication skills with excellent interpersonal abilities.
  • Ability to independently assess priorities, exercise sound judgment, and act appropriately.
  • Proven ability to manage multiple deadlines in a dynamic environment.
  • Strong proficiency in Microsoft Office Suite, including Word, PowerPoint, Outlook, Teams, and Excel.
  • Ability to maintain confidentiality and professionalism while supporting leadership and client-facing activities.

MedAxiom works with some health care organizations who require a 10-panel (including cannabis) drug screening for all their employees and contractors.
