We are currently seeking a proactive, detail-oriented, and motivated Property Management Associate to join our growing team.

Position Summary
The Property Management Associate plays a vital role in supporting the Property Manager with the day-to-day operations of a residential rental portfolio. This individual will serve as a key liaison between residents, building staff, vendors, and internal departments, helping ensure efficient property operations while delivering outstanding customer service to our clients.

Key Responsibilities

Administrative & Operational Support
• Assist the Property Manager with daily administrative and operational responsibilities.
• Manage and maintain resident files, correspondence, and property documentation.
• Respond to emails professionally and in a timely manner.
• Answer and direct incoming telephone calls.
• Solicit and obtain estimates from contractors and vendors for repairs and maintenance.
• Monitor and maintain vacancy reports and coordinate move-ins & move-outs.
• Submit IT and Accounting support tickets.
• Maintain organized records and ensure accurate documentation.

Resident Relations & Communication
• Serve as a primary point of contact for residents regarding routine questions, requests, and concerns.
• Coordinate maintenance requests and schedule repairs with building staff and vendors.
• Draft and distribute resident notices, building memos, and email blast announcements.
• Provide exceptional customer service while maintaining professionalism in all interactions.

Financial & Vendor Administration
• Create purchase orders (POs) and process check requests with all required approvals and supporting documentation.
• Review and process vendor invoices and monitor RapidPay work tickets.
• Follow up on vendor payments and outstanding invoices.
• Research and analyze resident ledgers to respond to billing inquiries.
• Prepare expense reports and other financial documentation as requested.
• Coordinate new vendor onboarding, including Certificates of Insurance (COIs) and vendor compliance documentation.

Meetings & Compliance
• Coordinate calendars, meetings, and scheduling.
• Participate in weekly operations and property update meetings.
• Prepare meeting agendas, reports, and supporting documentation.
• Track building violations and assist Property Manager with corrective action follow-up.
Special Projects
• Support departmental initiatives and special projects as assigned.
• Provide additional administrative support to the property management team as needed.

Qualifications

Experience
• Minimum of 5 years of experience in property management, real estate, or a related administrative support role preferred.
• Experience with New York City residential property management is strongly preferred.
• Familiarity with NYC housing regulations and building operations is a plus.

• Ability to manage multiple priorities while meeting deadlines.
• Excellent written, verbal, and interpersonal communication skills.
• Strong analytical and problem-solving abilities.
• Self-motivated with the ability to work independently and collaboratively.
• High level of professionalism, discretion, and attention to detail.
• Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
• Experience with MDS, RapidPay, and other property management software is preferred.
• Commitment to providing outstanding customer service.
