Job Summary:

The Sales Coordinator is the operational backbone of our sales team. You'll keep our CRM accurate and useful, streamline the day-to-day workflows that keep deals moving, and take an active role in growing lubricants sales by reaching out to current customers and warm leads.

This is a hands-on role that blends organization with direct customer contact. Beyond generating new opportunities, you'll play a key part in keeping our existing customers happy and loyal by staying in touch, catching issues early, and protecting the accounts we've worked hard to build. It's a strong fit for someone who is comfortable on the phone, detail-oriented with data, and motivated by helping a sales team hit its targets.

Schedule: Monday to Friday, 8:00 AM – 5:00 PM Full-Time, In-Office

What you will do day-to-day:

Sales team support

  • Coordinate quotes, proposals, and follow-ups so the outside sales team can focus on selling.
  • Prepare account summaries, pricing sheets, and sales materials as needed.
  • Track opportunities through the pipeline and flag next steps and stalled deals.

CRM data and workflows

  • Own the accuracy and completeness of customer records, activity logs, and pipeline data in the CRM.
  • Maintain and improve sales workflows, reminders, and reporting so nothing falls through the cracks.
  • Produce regular activity and pipeline reports for sales leadership.

Cross-marketing lubricants

  • Call current fuel and lubricants customers to identify cross-sell and upsell opportunities in our lubricant’s lineup.
  • Follow up on warm leads and marketing-generated inquiries to qualify interest and book opportunities for the sales team.
  • Log outcomes, schedule follow-ups, and hand off qualified opportunities cleanly to outside sales.

Customer retention

  • Conduct regular check-in calls with existing accounts to maintain relationships and reinforce AFD's value.
  • Monitor accounts for warning signs — declining order volume, service issues, lapses in contact — and escalate at-risk accounts to the sales team before they're lost.
  • Follow up promptly on customer concerns and coordinate with internal teams to resolve them.
  • Support renewals, re-engagement of dormant accounts, and customer satisfaction follow-ups.

What you need to succeed:

Education

  • Post-secondary diploma or degree in Business, Commerce, or a related field preferred.
  • High School Diploma required.

Experience

  • 2-5 years of experience in a sales support, inside sales, customer service, or coordinator role — B2B and/or industrial experience is an asset.

Other Skills (knowledge)

  • Comfortable and confident making outbound calls to existing customers and warm leads.
  • A relationship-first mindset with a genuine focus on keeping customers satisfied and loyal.
  • Strong organizational skills and attention to detail, with a track record of keeping data clean and accurate.
  • Working proficiency with CRM and Microsoft 365 Dynamics.
  • Clear, professional communication — written and verbal.
