Assistant Property Manager

Reports To: Property Manager

Position Summary

The Assistant Property Manager supports the Property Manager in the overall operation, performance, and success of the assigned apartment community. This position assists with daily property operations, resident relations, leasing activities, administrative functions, compliance, and team coordination. The Assistant Property Manager serves as a key support role to ensure the property maintains high standards of customer service, occupancy, resident satisfaction, operational efficiency, and company expectations.

The Assistant Property Manager must demonstrate strong organizational skills, attention to detail, professionalism, and the ability to effectively communicate with residents, prospects, vendors, and team members. This position assists in achieving property goals while providing exceptional service and maintaining a positive living environment for residents.

Essential Functions and ResponsibilitiesProperty Operations & Administration
  • Assist the Property Manager with the overall daily operations of the property.
  • Support the implementation and execution of company policies, procedures, and operational standards.
  • Assist with maintaining accurate property records, reports, files, and documentation.
  • Assist with reviewing property performance metrics and identifying areas requiring attention.
  • Support property inspections, audits, and compliance reviews.
  • Assist with preparation of operational reports, weekly updates, and required documentation.
  • Maintain confidentiality of resident, employee, and company information.
  • Assist with ensuring compliance with applicable federal, state, and local housing regulations, including Fair Housing requirements.
Leasing & Marketing Support
  • Assist with leasing activities to achieve occupancy and revenue goals.
  • Respond to leasing inquiries, schedule tours, and provide prospective residents with information regarding available homes, amenities, pricing, and community features.
  • Conduct property tours and effectively communicate the benefits of the community.
  • Assist with processing rental applications, screening documentation, and lease preparation.
  • Assist with move-in and move-out processes to ensure a positive resident experience.
  • Maintain accurate leasing records and follow up with prospects.
  • Assist with resident retention efforts, renewal processes, and community engagement initiatives.
  • Support marketing efforts, including outreach, advertising, and maintaining property presentation standards.
Resident Relations & Customer Service
  • Provide exceptional customer service to current and prospective residents.
  • Respond promptly and professionally to resident concerns, questions, and requests.
  • Assist with resolving resident issues while maintaining a customer-focused approach.
  • Promote positive resident relationships and community satisfaction.
  • Assist with resident events and engagement activities.
  • Maintain a professional and welcoming office environment.
Rent Collection & Financial Support
  • Assist with monitoring resident accounts, delinquency, and outstanding balances.
  • Communicate with residents regarding account balances, payment expectations, and lease obligations.
  • Assist with collection efforts while maintaining professionalism and compliance with applicable laws.
  • Assist with reviewing financial reports and identifying discrepancies or concerns.
  • Process resident payments and administrative transactions according to company procedures.
  • Assist with maintaining accurate records related to revenue, expenses, and property operations.
Maintenance & Property Condition Support
  • Communicate and coordinate with maintenance team members regarding resident needs, work orders, and property priorities.
  • Assist with monitoring completion of service requests and resident satisfaction.
  • Participate in property inspections to ensure homes, amenities, and common areas meet company standards.
  • Assist with preparation and coordination of move-in ready apartments.
  • Report safety concerns, maintenance issues, or property deficiencies to appropriate team members.
  • Assist in maintaining curb appeal and overall property appearance.
Team Support & Leadership
  • Provide guidance and support to leasing and administrative team members as directed by the Property Manager.
  • Assist with training and onboarding of new employees when requested.
  • Help promote teamwork, accountability, and a positive workplace culture.
  • Serve as a role model by demonstrating professionalism, reliability, and strong customer service skills.
  • Communicate effectively with the Property Manager regarding operational concerns, resident issues, staffing needs, and property performance.
V. Additional Duties and Responsibilities
  • Assist the Property Manager with special projects, operational initiatives, and company programs.
  • Support preparation for inspections, audits, and property reviews.
  • Assist with maintaining compliance documentation and required records.
  • Assist with vendor communication and coordination as needed.
  • Attend staff meetings, training sessions, and company meetings as required.
  • Maintain knowledge of company policies, procedures, software systems, and industry standards.
  • Utilize property management software and company systems accurately and efficiently.
  • Demonstrate flexibility and willingness to assist with changing priorities and business needs.
  • Perform other duties and responsibilities as assigned.
QualificationsRequired Qualifications
  • High school diploma or equivalent required.
  • Previous experience in property management, leasing, hospitality, customer service, sales, or related field required.
  • Strong customer service skills with the ability to professionally interact with residents, prospects, vendors, and team members.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Ability to maintain professionalism, confidentiality, and sound judgment.
  • Ability to work independently while also supporting a team environment.
  • Proficiency with computers and ability to learn new software systems.
  • Ability to accurately maintain records, complete documentation, and handle administrative responsibilities.
Preferred Qualifications
  • Previous apartment community or residential property management experience.
  • Experience with property management software systems.
  • Experience with leasing, resident relations, renewals, and occupancy management.
  • Knowledge of Fair Housing laws and housing regulations.
  • Experience assisting with property inspections, reporting, and compliance requirements.
  • Previous supervisory or leadership experience.
  • Strong sales, marketing, and customer retention skills.
Knowledge, Skills, and Abilities
  • Knowledge of basic property management operations and leasing practices.
  • Knowledge of customer service principles and conflict resolution techniques.
  • Ability to communicate effectively with diverse populations.
  • Ability to handle sensitive situations with professionalism and discretion.
  • Strong problem-solving and decision-making abilities.
  • Ability to prioritize tasks and manage competing demands.
  • Ability to work collaboratively with onsite teams and corporate support departments.
  • Ability to represent the company in a professional manner at all times.
Physical Requirements
  • Ability to sit, stand, walk, bend, reach, and occasionally lift or move items as needed to perform job duties.
  • Ability to conduct property tours and inspections, including walking throughout the community and apartment homes.
  • Ability to work in an office environment and property setting.
  • Ability to operate standard office equipment and computer systems.
Work Environment

This position operates primarily within a residential apartment community office and property environment. The Assistant Property Manager may interact regularly with residents, prospective residents, vendors, contractors, and employees. This role requires professionalism, flexibility, and the ability to respond effectively to changing priorities. Must be punctual with hours Monday - Friday 8:30 - 5:00 pm.
