Job Description
Executive Support | Communications | Initiative Coordination
Reports To: Integrator (COO) | Department: Executive Leadership
Position Type: Full-Time
POSITION OVERVIEW
Food Sales East (FSE) is seeking a proactive, highly organized Coordinator of Strategic Initiatives to multiply the effectiveness of the Integrator (COO). This administrative role combines executive support, communications, initiative coordination, and presentation development to protect executive time and advance leadership priorities. It requires discretion, sound judgment, and disciplined follow-through without assuming functional leadership authority.
KEY RESPONSIBILITIES
Executive Support and Priority Management
• Manage the COO’s calendar, meetings, commitments, and email; flag urgent matters and prepare responses as appropriate.
• Protect executive time, anticipate conflicts and deadlines, and identify work to delegate, defer, or eliminate.
• Prepare agendas and briefings; coordinate travel and meeting logistics; maintain daily and weekly planning routines.
• Track decisions, delegated commitments, deadlines, and meeting follow-up.
Organizational Communications
• Draft, edit, and distribute leadership messages, announcements, and updates on priorities, expectations, and initiatives.
• Coordinate consistent communication among Senior and Division Leadership Teams and other stakeholders.
• Create reusable templates and processes that reduce confusion and reinforce FSE’s culture, values, and Gold Standard.
Initiative Coordination and Follow-Through
• Maintain a consolidated initiative tracker with owners, milestones, deadlines, and commitments.
• Gather updates, prepare executive summaries, flag obstacles and at-risk commitments, and follow up at the COO’s direction.
• Support organizational effectiveness, culture and leadership development, and Sales ONE alignment through repeatable coordination systems.
Presentations, Training and Learning Support
• Create polished PowerPoint and training materials that simplify complex processes and explain what to do and why.
• Partner with subject-matter experts to ensure accuracy, consistency, and clarity.
• Apply effective-learning research; explore AI-generated videos, interactive learning, and emerging technologies to improve understanding and application.
• Maintain reusable presentation templates, training resources, and communication materials.
QUALIFICATIONS AND CAPABILITIES
• Exceptional organization, prioritization, attention to detail, and management of competing deadlines.
• Excellent written and verbal communication; simplifies complex information for different audiences.
• Strong PowerPoint skills for polished executive presentations and training materials.
• Technology and AI aptitude to improve productivity, communication, and learning.
• Discretion, integrity, loyalty, sound judgment, and professional maturity with confidential information.
• Strong interpersonal skills and coordination across organizational levels.
IDEAL CANDIDATE
• Proactive and resourceful; anticipates needs and brings practical solutions.
• Trustworthy, humble, and service-oriented; enjoys helping others succeed behind the scenes.
• Adaptable and emotionally intelligent; values quality, continuous improvement, and dependable follow-through.
WHAT SUCCESS LOOKS LIKE
• The COO’s time is protected for leadership, strategy, organizational performance, and developing people.
• Schedules, communications, and commitments are organized; meetings are prepared with disciplined follow-up.
• Communication is clear and consistent; initiative status is visible and delays are flagged early.
• Presentations and training engage audiences and support understanding, retention, and application.
• The COO receives trusted, confidential, proactive support while functional ownership remains clear.
ROLE SCOPE AND ORGANIZATIONAL ALIGNMENT
This administrative coordination role supports information sharing, scheduling, presentations, and follow-through at the COO’s direction—not functional leadership. Functional leaders retain ownership of their teams and results:
• Operations: Corporate VP of Operations retains operational ownership.
• Sales: VP of Sales retains ownership of sales execution and performance.
• Client Development: Corporate VP of Client Development retains assigned client development ownership.
• Business Development: Dedicated leader owns prospecting, pipeline management, manufacturer interviews, national conference business development execution, and revenue results.
Food Sales East is an Equal Opportunity Employer. We consider all qualified applicants without regard to race, color, religion, creed, national origin, sex, sexual orientation, gender identity or expression, age, disability, veteran status, or any other characteristic protected under federal, state, or local law.
