About This Position
Position Overview:
Harris County Judge Lina Hidalgo is transforming the way we do government and is seeking an experienced, dynamic, and motivated Planning Council and Special Projects Coordinator to join our team and shape the vision for the future of Harris County.
This position assists volunteers in understanding and carrying out their responsibilities within a system that is designed by the federal government, but implemented by county government with input from local leaders and Council members. Duties include: coordinating and disseminating information for numerous standing committees and work groups; providing information to community members to facilitate participation; documenting and maintaining a record of all Council decisions; coordinating special projects such as the Council’s web site and HIV/AIDS Resource Directory; and serving as Payroll Clerk and procurement specialist.

Harris County is the third largest and most diverse county in the nation, with a population of more than 4.7 million, rivaling the size of the entire state of Louisiana. Judge Hidalgo functions as the CEO of Harris County and presides over the Harris County Commissioners Court, the County's governing body. Along with four County Commissioners, the County Judge directs a budget of more than $4 billion providing essential services such as justice administration, flood control, infrastructure, and housing. Judge Hidalgo also serves as Harris County’s Director of Emergency Management.
Duties and Responsibilities:
- Assist over 75 volunteers on a day-to-day basis in understanding and carrying out their responsibilities.
- Ensure public awareness of Council activities through filings, mailings, and preparation of meeting materials.
- Coordinate all meeting logistics, including securing venues and arranging support services.
- Maintain accurate meeting records and documentation.
- Manage development and production of the HIV/AIDS Resource Directory using Microsoft Access and Publisher.
- Procure printing and translation services for directory and other projects.
- Inventory and purchase supplies as needed for meetings and events.
- Act as payroll and procurement liaison with county personnel and manage related procedures.
- Provide support in absence of the Director.

Education and Experience:
Bachelor’s degree from an accredited college or university.
Minimum two (2) years of related work experience required.
Knowledge, Skills, and Abilities:
- Strong written and oral communication skills, including public speaking.
- Ability to work with a broad base of community members, including volunteers, and to disseminate information across multiple expertise levels.
- Ability to interact with and provide support services to People living with HIV, LGBT and other marginalized communities.
- Project management skills with ability to manage multiple concurrent projects and deadlines.
- Resource management and reporting experience using tools like Microsoft Excel.
- Vendor and contract coordination within public sector procurement processes.
- Meeting facilitation and logistics planning aligned with Open Meetings Act compliance.
- High attention to detail in maintaining accurate public records and administrative workflows.

Bachelor’s degree preferred in public/community health or health administration or related social sciences field.
Position Type and Typical Hours of Work:
Grant-funded Full-time
Monday - Friday | 8:00 A.M. to 5:00 P.M.
Requires the ability to work outside of normal business hours, including weekends, on a frequent basis.
Salary:
Depends on qualifications
Based on 26 pay periods
Employment may be contingent on passing a drug screen and meeting other standards.
