Position: Mail Clerk & Custodian
Classification: Full-time, Non-Exempt
Reports to: Director, Facilities & Plant Management

Position Description:
The Mail Clerk & Custodian is responsible for receiving, sorting and distributing all incoming and outgoing mail in a timely and efficient manner. The position also ensures the cleanliness and upkeep of assigned areas by following a daily and weekly schedule of custodial duties. Additionally, the Mail Clerk/Custodian supports the Facilities Departments, staff and external contractors to ensure high quality, efficient cleaning and service support to campus.

Primary Responsibilities:
Mail Clerk
  • Manage all mailroom activities, including receiving, sorting, and distributing all incoming mail, interoffice mail and packages to ensure timely distribution and efficient delivery to appropriate departments, locations, or individuals.
  • Prepares and processes outgoing mail by computing postage rates, applying correct postage and assigning charges to appropriate cost centers/department.
  • Collects outgoing mail daily and ensures all items are accurately labeled with the appropriate cost center for proper expense tracking.
  • Tracks and logs deliveries, certified mail, and packages to ensure accountability and timely distribution.
  • Utilize USPS/UPS/FedEx online shipping platforms and coordinate with delivery vendors (USPS, FedEx, UPS, etc.) to ensure efficient mail operations.
  • Ensures timely and accurate distribution of all incoming and outgoing mail.
  • Maintains and operates mailroom equipment, including postage meters and scanners.
  • Maintain appropriate inventory of shipping and receiving materials and supplies.
  • Maintains a clean, organized, and efficient mailroom and storage areas.
Custodial
  • Clean and sanitize all assigned areas to maintain high level of sanitation and cleanliness. Includes but not limited to restrooms, break rooms, and common areas, offices, corridors and other areas within campus buildings.
  • Remove trash and other debris from receptacles and dispose of waste properly.
  • Check and refill soap, paper towels and toilet tissue dispensers.
  • Sweep and damp mop floors.
  • Wipe down vertical surfaces and Dust horizontal surfaces.
  • Sweep, mop, vacuum, and dust assigned areas
  • Restock supplies in closets and storage areas.
  • Assist other employees when needed.
  • Monitor building conditions and report any maintenance issues, problems, needed repairs or supply needs to supervisor promptly.
  • Delivery custodial supplies to all departments as directed.
  • Follow safety and sanitation standards.
Required Qualifications:
  • High School Diploma or equivalent.
  • Prior mail room experience, shipping and receiving is preferred.
  • Prior custodial experience or facilities support preferred.
Knowledge, Skills, and Abilities:
  • Ability to understand written and verbal instructions.
  • Proficient computer skills including the ability to send and reply to emails.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy in handling mail and packages.
  • Excellent communication and teamwork skills
  • Provide excellent customer service-oriented approach.
  • Ability to perform tasks independently with flexibility and minimal supervision.
  • Ability to read and interpret data, information, and documents.
Work Conditions:
  • Environment: Office-based
  • Range of Schedule: Mon – Fri, 7:00 am to 8:00 pm
  • Travel: Occasional (Drives DePelchin vehicles for agency business. Must have valid Texas Driver License)
