Our team takes collective pride in its work product, professionalism and discretion.POSITION OVERVIEWWe are seeking a full-time Senior Accounts Payable Specialist to support the full cycle accounts payable function for our small, but complex, multiple entity organization. The ideal candidate is technologically savvy, eager to adapt to new technology with a strong focus on automation and process improvement. Responsibilities include ensuring invoices are processed and paid in a timely and efficient manner, and serving as a point person to research and resolve inquiries. This role collaborates with internal departments to address complex AP functional and technical issues, and helps to identify best practices to ensure we are meeting company goals and client service expectations. PRIMARY RESPONSIBILITIESResponsible for new vendor setup and maintenance to ensure accurate payments and annual 1099 tax reporting Process accounts payable department mail and manage invoices coming in via electronic inboxesScan, code, and enter all invoices into accounts payable software system in an efficient and timely mannerAudit invoices scanned through OCR technology for payment approvalEnsure timely and accurate payments to vendors within agreed upon terms Support internal and external inquiries in a timely and professional manner Responsible for accounts payable recurring invoice processing Assist with continued transition to electronic payment processingEnsure and adhere to disciplined internal controls and support periodic external agreed upon procedures engagementsCreate and maintain accounts payable procedures and quick reference guides to ensure adherence to company guidelines Contribute ideas for process improvement based on identified themes and observationsAssist with system testing related to ongoing maintenance, upgrades, and security controls Collaborate with broader Finance and Accounting team on ad hoc related tasks and projects
QUALIFICATIONSA minimum of 5 years’ experience in accounting/accounts payable using accounting principlesBachelor’s or associate degree in accounting, finance, or related field requiredFamily office experience is strongly preferredMeticulous attention to detailAbility to work efficiently and accurately in a deadline driven environment Proven ability to work independently and possess strong critical thinking skillsStrong organizational skills and ability to pivot and adapt to day-to-day changesStrong desire to learn new technology with an inclination for automation and process improvementPositive, professional attitude and excellent customer service skillsDependability along with a strong work ethic and high degree of integrityAbility to maintain confidentiality of sensitive informationStrong verbal and written communication skills Ability to build strong working relationships with peers, vendors, business partners, and leadership across the organizationAdvanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, Teams, etc.)Proficient in accounting software; Microsoft Business Central strongly preferredCOMPENSATION AND BENEFITSThe projected salary range for this position is $70K-$80K, however final compensation will be determined based on the candidate’s qualifications, including education, relevant experience, and skills.
