Position Summary:
The Client Service Coordinator partners with Financial Planners to support the wealth management and financial planning needs of our clients. This role serves as a key point of contact for client account-related needs and is responsible for delivering an exceptional client experience while ensuring full compliance with applicable industry regulations and firm policies.
Duties & Responsibilities:
Client Service Excellence
- Deliver responsive, professional, and accurate service to clients across all communications and interactions.
- Build trusted relationships with clients and serve as a reliable resource for their account-related questions and requests.
- Coordinate client meeting preparation, follow-up, and ongoing communication in partnership with Financial Planners.
- Support clients with account access, transaction requests, and life-event needs such as estate and beneficiary matters.
- Work closely with Financial Planners, Operations staff, and the broader team to deliver a coordinated client experience.
- Communicate proactively with team members on status updates, open items, and process improvements.
- Provide back-up coverage and cross-functional support as needed, including for the Front Office Coordinator role and other Client Service Team Members.
- Contribute to a positive, collaborative team culture that reflects the firm’s purpose, vision, and values.
- Process account openings, transfers, distributions, and ongoing maintenance requests in accordance with firm policies, custodian procedures, and applicable industry regulations.
- Ensure required client documentation is complete, accurate, and properly maintained throughout the client lifecycle, following established recordkeeping and cybersecurity practices.
- Partner with custodians to resolve service issues, monitor alerts, and ensure timely, accurate completion of client requests.
- Handle client funds, account changes, and sensitive information with care.
- Maintain accurate, well-documented records in firm systems and leverage technology and workflow tools to improve efficiency, accuracy, and the overall client experience.
- Genuine commitment to delivering excellent service to both external clients and internal team members.
- Strong written and verbal communication skills with a professional, client-ready tone.
- Must exhibit a professional attitude and demeanor.
- Highly organized and detail-oriented, with the ability to prioritize and manage multiple tasks accurately.
- Integrity, sound judgment, and discretion when handling confidential information.
- Adaptable, curious, and open to learning new tools, technology, and processes.
- Collaborative team player who thrives in a small-firm, entrepreneurial environment.
- Bachelor’s degree preferably in business, marketing, or communications or have applicable related experience
- 1+ years of experience in client service (preferably in the financial services industry with an independent registered investment advisory firm)
- Proficiency in Microsoft Office, experience with CRM , and document management
