Job Description

Position Summary

As an integral member of the finance team, the Grant Specialist provides technical expertise to support the senior accountants, Controller, and CFO by utilizing their federal and state grant experience. This position will be a detail-oriented and highly analytical position that will manage the financial and compliance aspects of federal, state, and private grants. This position is ideal for a professional who excels in grant compliance, financial reporting, and cross-functional partnership. The position plays a critical role in ensuring grant funds are properly budgeted, monitored, reported, and used in compliance with applicable regulations while supporting the organization’s strategic and programmatic objectives.

The Grant Specialist also works on improvement initiatives with the Accounting Team and participates in the annual NVHC audit, budget and reforecast preparation. The Grant Specialist should be competent in accounting principles and extremely competent in math, data entry, and multitasking.

Essential Duties and Responsibilities

• Interacts with HRSA, completing necessary reports and ensuring grant compliance

• Attends and actively participates in grant proposal meetings and grant review meetings

• Actively participates in month-end close and pre-close meetings

• Prepares and submits monthly grant billings for federal and state grants

• Assists senior accountants with grants, as needed

• Manages the full financial lifecycle of multiple grants, including budgeting, forecasting, monitoring expenditures, financial reporting and close‑out

• Maintain accurate grant accounting records in accordance with GAAP and fund accounting principles

• Prepare and reconcile grant‑related journal entries and general ledger activity

• Track grant revenue, allowable costs, indirect cost allocations, and matching requirements

• Ensure compliance with federal, state, and private grant regulations and award terms

• Prepare and submit timely monthly, quarterly, and annual financial reports to funding agencies

• Review expenditures for allowability, accuracy, and proper documentation

• Support internal and external audits related to grant‑funded programs

• Partner with program managers to develop grant budgets and provide ongoing financial guidance

Required Qualifications

• 3+ years of experience in grant accounting, nonprofit accounting, or government‐funded programs

• Strong knowledge of federal and state grant regulations and compliance requirements

• Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved

• Experience managing multiple concurrent grants

• Experience with fund accounting or grant management software

• Background in nonprofit, healthcare, or government environments

Preferred Qualifications

• BA/BS degree in Accounting or Business Administration preferred

• Excellent knowledge in all areas of accounting and how they feed the general ledger

• Good knowledge of accounting principles such as accrual accounting, as well as special governmental regulations as applied to grants and federal funds

• Communicates in a professional and courteous manner

• Skill in operating personal computer using advanced programs and spreadsheets and competence in accounting and payroll systems.
