JOB OVERVIEW: KLOUDGIN OPERATIONS ADMINISTRATORThe KloudGin Operations Administrator serves as a critical operational leader responsible for ensuring the accuracy, integrity, and efficiency of all data captured within the KloudGin platform. This role oversees the Operations Administration function and drives consistency, compliance, and timeliness in daily operational reporting.
The position provides direct support to both internal teams and subcontracted vegetation management crews, ensuring seamless coordination, accurate daily log submission, and timely approvals. Acting as a key liaison between field operations, subcontractors, and cross-functional partners, the Administrator identifies process improvements, enhances workflows, and strengthens data quality.
This role plays a vital part in enabling data-driven decision-making, improving operational visibility, and supporting overall performance and excellence across vegetation management operations.
JOB RESPONSIBILITIES
Operations & Daily Log Administration:
- Coordinate the review, revision, and approval of daily logs submitted through the KloudGin platform.
- Validate operational data for accuracy, completeness, and compliance with internal standards, client requirements, and contractual obligations.
- Identify discrepancies, missing data, or errors and work with crews and administrators to resolve issues promptly.
- Ensure timely completion of daily logs to support billing, reporting, and performance tracking.
Team Leadership & Training:
- Serve as the primary point of contact and functional lead for the KloudGin Operations Administration team.
- Provide day-to-day guidance, coaching, and mentorship to ensure quality, consistency, and productivity.
- Develop and deliver training on KloudGin workflows, best practices, and process updates for operations administrators.
- Support performance management by monitoring workloads, quality metrics, and adherence to procedures.
Field & Subcontractor Support:
- Act as the primary support contact for internal and subcontracted tree crews related to KloudGin daily log submission.
- Assist crews with troubleshooting system issues, correcting submissions, and understanding reporting requirements.
- Ensure crews have appropriate system access, tools, and knowledge to complete accurate and timely reporting.
- Foster strong working relationships with field leadership to support operational alignment.
Business Intelligence & Reporting:
- Utilize KloudGin business intelligence dashboards and reports to monitor trends, identify bottlenecks, and assess performance.
- Analyze operational data to recommend improvements in log review, approval timelines, and resource utilization.
- Prepare and communicate actionable insights to operations leadership and cross-functional partners.
User Profile & Crew Structure Management:
- Maintain and update user profiles, permissions, and access levels within the KloudGin platform.
- Configure and manage crew structures to ensure alignment with operational, contractual, and organizational requirements.
- Ensure system data integrity related to crews, users, and operational hierarchies.
Process Improvement & System Optimization:
- Identify opportunities to streamline workflows, reduce errors, and improve system utilization.
- Collaborate with operations, IT, and management to implement process improvements and system updates.
- Support testing, rollout, and adoption of new KloudGin features or operational changes.
- High school diploma or equivalent required.
- Associate’s or Bachelor’s degree in Business Administration, Operations Management, Information Systems, or a related field preferred.
Experience:
- Minimum of 3 years of experience in operations administration, field operations support, or data management.
- Experience supporting field-based or utility vegetation management operations strongly preferred.
- Prior experience administering or supporting enterprise platforms (e.g., KloudGin, Maximo, Salesforce, or similar) preferred.
- Supervisory or lead experience preferred.
Skills & Abilities:
- Strong organizational and time management skills with exceptional attention to detail.
- Ability to analyze operational data and translate findings into actionable insights.
- Proficient in computer systems, databases, and reporting dashboards.
- Strong written and verbal communication skills.
- Ability to work effectively with field crews, subcontractors, and cross-functional teams.
- Problem-solving mindset with the ability to manage competing priorities in a fast-paced environment.
Licenses / Certifications:
- Valid driver’s license with an acceptable driving record.
- KloudGin system training or certification preferred (or ability to obtain).
Required Training:
- Company safety orientation and compliance training.
- KloudGin platform and internal systems training upon hire.
- Ongoing operational and process improvement training as required.
PREFERRED QUALIFICATIONS
- Experience in utility vegetation management, forestry, construction, or infrastructure services.
- Familiarity with client reporting, contract compliance, and operational KPIs.
- Experience working with union and/or subcontracted field crews.
- Advanced proficiency in reporting tools, dashboards, or data analysis.
- Primarily office-based with extensive use of computer systems, dashboards, and enterprise platforms.
- Frequent interaction with internal field operations teams and subcontracted vegetation management crews.
- Fast-paced administrative environment requiring strong attention to detail, organization, and accuracy.
- Regular multitasking and deadline-driven work to support daily operational reporting and approvals.
- Occasional travel to field offices or operational sites may be required.
- Extended periods of sitting, typing, and screen use.
- May require flexibility in work hours to support operational needs during peak workload periods.
