Job Description
Manage, coordinate and implement all aspects of a Project or order to include but not limited to all administrative requirements and documentation. Coordinate all internal resources, specifically sales and interior design department, to achieve the objective. Act as the point person for projects and orders while maintaining or increasing profit objectives. Manage internal and external resources while promoting a positive and collaborative environment.
- Manages all aspects of “turnkey project” including preparing quotes, sales orders, coordinating showroom visits, logistics and installation if requested. For all products and services sold.
- Negotiates costs and delivery time with vendors; issues purchase orders to vendors; and verifies vendor’s invoice and approves payment to the vendor.
- Prepare quotes for customers; issues appropriate Sales Order Acknowledgements to customer.
- Manages and coordinates all production and shipping schedules for projects including the rearrangement of schedules as outside forces dictate.
- Manages any issues with suppliers/vendors to ensure orders are manufactured and delivered according to project deadlines. Negotiates credits etc., with suppliers/vendors if there are quality or delivery problems that warrant such. Regularly communicates with suppliers/vendors to resolve problems; communicates updates to GF territory manager so updates can be passed on to customers.
- Research customer concerns and complaints, then take appropriate action within the parameters of company guidelines to negotiate resolutions satisfactorily to both the customer and the company.
- Gather all necessary information both internally and externally in order to fully oversee the needs of the customer and total implementation of the project. Coordinate all internal resources to achieve the successful conclusion to a Project. To include (Marketing/Product Management, Engineering, Quality, Regulatory, Manufacturing, Interior Design, and Customer Service)
- Coordinate all external resources to achieve the successful conclusion of the project or order.
- Acts as a point person with the design team during client showroom visits including product presentations/demonstrations and documentation of product selection.
- Conduct initial screening of new opportunities and Projects presented by GF sales personnel or a distribution partner.
- Acts as a liaison between the Interior Design team and the territory manager to ensure positive outcomes for the client and GF.
- Responsible for coordinating all aspects of showroom visits to include transportation, accommodation and any logistical support for clients and GF personnel. To include client entertainment.
- Demonstrate knowledge of GF products to include clinical beds, resident room furniture, upholstery and all other applicable products. Help educate key decision makers on products, services and programs to increase business and expand sales.
- Demonstrated ability to identify problems and develop practical solutions with minimal supervision.
- Ability to resolve customer concerns by gathering information, identifying underlying issues, and delivering timely, effective solutions.
- Maximize profitability by product and project whenever the opportunity presents itself
QUALITY REQUIREMENTS
Responsible for adhering to the established GFHP’s quality system and facility procedures in your respective department. Responsible for identifying problems that can have an impact on product quality and reporting the information to your supervisor and the responsible product manager. Adhere to all Company Policies and Procedures and incorporate sound safety and housekeeping practices in performing day-to-day functions in the work environment.
EDUCATION and/or EXPERIENCE
· Bachelor’s Degree or equivalent
· Or a minimum of 2-5 years of experience as a Project Manager. Preferably working with large capital projects, either new construction or large scale refurbishment involving equipment and furniture. Specific experience working within healthcare and or the senior living industry is a plus.
· Or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to read, analyze and interpret general business periodicals, professional and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from management, internal personnel, customers, regulatory agencies, and members of the business community.
MATHEMATICAL SKILLS
Ability to perform general business calculations such as discounts, interest, margins, and percentages. Ability to work with spreadsheets, expenses and understand P&Ls. Ability to apply basic concepts of geometry and algebra as relevant to the position.
COMPUTER SKILLS
Proficient in Microsoft Word, Excel and PowerPoint. Knowledgeable in the use of mobile communications and sales automation tools. Adapts to changing business tools and communications modalities.
REASONING ABILITY
Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of reports.
