Colliers | Wisconsin is seeking a Transaction Coordinator to support one of our top-performing Brokerage teams. This is a highly visible opportunity for a detail-oriented professional who thrives in a fast-paced environment, enjoys bringing order to complexity, and takes pride in helping transactions cross the finish line.

As a trusted partner to brokers and clients, you will play a critical role in keeping deals organized, on track, and moving forward. If you enjoy balancing multiple priorities, building strong relationships, and being the person others rely on to make things happen, we'd love to connect with you.

Drive transactions from start to finish

You will coordinate commercial real estate transactions throughout the entire lifecycle, including listings, leases, renewals, amendments, and sales transactions. You will manage critical dates, timelines, and documentation while ensuring every detail is accurate and complete.

You will:

  • Coordinate transactions from listing through closing
  • Track deadlines, milestones, and required documentation
  • Prepare and review transaction-related materials
  • Serve as a key point of contact between brokers, clients, attorneys, landlords, tenants, and internal teams
  • Proactively identify potential roadblocks and help keep deals moving forward

Create Client-Facing Marketing Materials

You will support business development efforts by creating polished, professional marketing and presentation materials that reflect the Colliers brand and help brokers win business.

You will:

  • Develop offering memorandums, proposals, presentations, and marketing packages
  • Customize materials using InDesign, Adobe Creative Suite, PowerPoint, or similar platforms
  • Maintain branding consistency and high-quality standards across all materials
  • Assist in preparing client deliverables and property marketing campaigns

Provide Operational and Administrative Excellence

Success in this role requires someone who is highly organized, adaptable, and proactive. You will support day-to-day brokerage operations while continuously looking for ways to improve processes and create efficiencies.

You will:

  • Manage competing priorities and shifting deadlines with confidence
  • Anticipate team needs and provide proactive support
  • Maintain accurate records and transaction files
  • Identify opportunities to streamline workflows and improve team efficiency
  • Take ownership of projects and follow through to completion
Requirements:
  • 3+ years of real estate experience, with commercial real estate experience preferred
  • Exceptional attention to detail and organizational skills
  • Strong project coordination and multitasking abilities
  • Experience creating and editing professional marketing, proposal, and presentation materials
  • Excellent written and verbal communication skills
  • A proactive, solutions-oriented mindset with strong follow-through
  • Ability to thrive in a fast-paced, team-oriented environment
  • Wisconsin Real Estate License is a plus, but not required
