Job Summary
Hillsdale College is seeking a highly organized, service-oriented Project Coordinator to provide the administrative backbone for projects across the College. This position supports the Project Management Office and Continuous Improvement Services Team by coordinating meetings, maintaining project plans and records, tracking action items and deadlines, preparing routine status updates, and ensuring information remains accurate and accessible. The ideal candidate is attentive to detail, dependable in follow-through, comfortable managing multiple priorities, and interested in a career in either Project Management or Continuous Improvement. This role supports project delivery but is not independently accountable for project scope, budget, resources, or outcomes.
Essential Job Duties
  1. Coordinate project meetings, including calendars, attendees, rooms, virtual links, and other logistics
  2. Prepare and distribute meeting agendas, materials, and other project information
  3. Attend meetings and record decisions, action items, owners, due dates, and open questions
  4. Distribute meeting notes promptly and make requested corrections or updates
  5. Maintain action item lists and send routine reminders as deadlines approach
  6. Update the enterprise work management software (Monday.com) and other project tracking tools with current information
  7. Organize and maintain project files, meeting records, contact lists, and document repositories
  8. Compile information for routine status reports, presentations, and stakeholder communications
  9. Coordinate administrative needs with internal teams and other service providers
  10. Identify missing, outdated, or conflicting project information and flag it for resolution
  11. Help maintain the PMO and CIS library of templates, tools, standards, and reference materials
  12. Provide general administrative and coordination support across projects
  13. Continuously learn and expand knowledge of the project management field


Required Qualifications:
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education and Experience
A bachelor’s degree in business, Communications, Project Management, Administration, or another relevant field is highly desired. Additionally, two or more years of administrative, coordination, or project support experience is preferred. An equivalent combination of education and experience sufficient to demonstrate ability to perform the job will be considered.
General Skills Required
  1. Exceptional organization and attention to detail, with the ability to keep schedules, records, and commitments accurate and current
  2. Strong written and verbal communication skills, including the ability to confirm decisions, owners, due dates, and next steps
  3. Comfort working across all levels of the organization
  4. Regular coordination with internal teams and other service providers
  5. A professional and responsive point of contact who creates positive experiences for project stakeholders
  6. Ability to prepare clear agendas, meeting minutes, action logs, routine status updates, and other project communications
  7. Dependable follow through, including timely and respectful reminders to action owners
  8. Ability to coordinate calendars, meeting logistics, materials, and participants across multiple projects
  9. Ability to prioritize competing requests, meet deadlines, and move comfortably between projects
  10. Demonstrated ability to process detailed information, identify inconsistencies, and maintain accurate documentation
  11. Sound judgment about what can be resolved independently and what should be escalated to a Project Manager or Business Analyst
  12. A desire to foster strong interdepartmental and intradepartmental relationships
  13. Eagerness to learn project management and/or business analysis practices, accept coaching, and take on progressively more complex assignments
