Job Description
Loch Harbour Group, Inc. is seeking a detail-oriented Military Administrative Specialist (MilAdmin) to provide comprehensive administrative, personnel, legal-support, and manpower assistance within a U.S. Navy operational environment.
This role supports military personnel lifecycle activities including evaluations, manpower tracking, directives administration, awards processing, command investigations, and workforce reporting. The ideal candidate will have strong organizational skills, familiarity with Navy administrative and legal processes, and the ability to support a dynamic workforce with frequent personnel rotations.
Key Responsibilities
- Prepare, track, and route military evaluations (e.g., NAVFIT) while maintaining personnel rosters, manning documents, and accountability reports in compliance with Navy requirements
- Manage manpower and billet documentation, including BIN tracking, personnel status changes, and workforce alignment; develop workforce status reports to support leadership visibility
- Prepare, review, and route command directives, executive correspondence, staff packages, and reports, ensuring accuracy, formatting consistency, and compliance with Navy administrative standards
- Administer and track awards packages and personnel actions, coordinating across Military Administration, Directives, and Manpower offices to ensure timely and accurate processing
- Support processing of command investigations, line-of-duty investigations, and loss/damage-to-government-property investigations, ensuring proper documentation and routing
- Assist with claims intake and administrative processing under programs such as the Military Claims Act and Federal Tort Claims Act, coordinating with legal staff as needed
- Monitor and manage leadership taskers and administrative actions within FlankSpeed and enterprise systems, ensuring timely completion and clear status reporting
- Draft reports, briefs, and presentations using Microsoft Office Suite, while maintaining organized records aligned with inspection readiness standards
- Maintain shared drives and collaboration platforms using SharePoint, Teams, and Jira, supporting workflow tracking and coordination
- Handle official and sensitive documentation, including mail processing, PCS-related packages, and FOIA/HIPAA/Privacy Act-related records requests, ensuring proper handling and distribution
- Provide administrative support to military personnel including check-in/check-out processing, sponsorship coordination, and customer support, while adapting to frequent personnel rotations
- Provide training and mentorship to junior administrative staff as needed

Requirements
Education Requirements
Bachelor's level degree in Accounting, Finance, Economics, Business Administration, or a related field. (Relevant military legal/administrative training, such as Legalman "A" School or a Legal Research and Writing course, may be considered in lieu of a specific degree focus.)
Experience Requirements
- 3 years of professional experience in military or federal administrative, personnel, or legal-support functions
Required Qualifications
- Active Secret Security Clearance (required at time of hire)
- Ability to work onsite in San Diego, CA 5 days a week
