Job Description
The Customer Service & Billing Specialist is a hybrid position responsible for providing exceptional customer service while supporting the company’s daily billing and invoicing operations. This position serves as an important link between customers, drivers, dispatch, sales, and billing to ensure orders are handled accurately, customers receive timely information, and invoices are processed correctly and efficiently.
The ideal candidate is highly organized, detail-oriented, dependable, and comfortable working in a fast-paced fuel transportation environment where priorities can change throughout the day.
Key Responsibilities
Customer Service
• Answer incoming customer and dealer calls in a professional and courteous manner.
• Assist customers with questions regarding deliveries, orders, invoices, and account information.
• Provide customers with delivery status and ETA information by researching orders and communicating with Dispatch when necessary.
• Take ownership of customer requests and follow through until the issue is resolved.
• Communicate with customers regarding delivery concerns, shortages, scheduling issues, and other service-related matters.
• Communicate effectively with Dispatch, Drivers, Sales, and Billing to resolve customer issues.
• Maintain a professional and positive attitude when dealing with customers and internal team members.
Billing & Invoicing
• Review completed delivery orders for accuracy and completeness.
• Process and email customer invoices in a timely manner.
• Verify gallons delivered, products, rates, fuel surcharges, freight charges, split fees, minimum freight charges, and other applicable fees.
• Identify and correct billing discrepancies before invoices are sent to customers.
• Process credit and rebill requests when necessary.
• Maintain accurate billing records and support documentation.
• Monitor daily billing reports and ensure completed orders are invoiced timely.
• Assist with month-end billing and other billing-related responsibilities.
• Follow customer-specific invoicing and submission requirements.
