Job Description
The Facilities Support Associate keeps the Aurora campus running smoothly — supporting office and warehouse operations, mailroom and shipping, and day-to-day facilities needs. This role is the go-to contact for employees, contractors, and visitors on facility-related requests.
Requirements:Key Responsibilities
• Support daily facilities operations across the Aurora campus office and warehouse, including access control, badge management, and visitor services.
• Respond to and track facility service requests through to resolution.
• Monitor and replenish office supplies, pantry areas, and facility inventories.
• Manage the mailroom: receive, sort, and distribute incoming mail and packages; prepare and process outgoing mail and shipments through approved carriers (USPS, FedEx, UPS, DHL).
• Operate postage meters, shipping software, and mailroom equipment; maintain accurate shipment records and mailroom supplies.
• Notify employees of package arrivals and assist with pickup.
• Ensure secure handling of confidential, sensitive, and high-value documents and packages.
• Support office moves, inventory management, and other administrative projects as assigned.
• Ensure compliance with company policies, safety standards, and building regulations.
Required Qualifications
• High school diploma or equivalent required; associate degree a plus.
• 1–3 years of experience in facilities, mail/office services, workplace operations, or a related support role.
• Proficient in Microsoft Office and work order management systems; SAP experience a plus.
• Basic knowledge of building systems and maintenance practices.
• Strong customer service, communication, and organizational skills; able to prioritize multiple tasks accurately.
• Able to lift up to 50 lbs. and perform occasional physical tasks such as moving furniture or equipment.
• Comfortable working independently and as part of a team, with strong attention to detail and problem-solving ability.
Preferred Qualifications
• Experience in a corporate office, manufacturing, or educational environment.
• Familiarity with shipping/carrier platforms and package tracking systems.
• Knowledge of workplace safety standards and mail processing regulations.
