Job Description:
Fibertek is seeking a motivated HR Operations Coordinator to provide comprehensive support to Fibertek’s Human Resources function and serve as a key resource for employees, managers, and program leadership across both the R&D and Engineering Services organizations. This position coordinates day-to-day HR programs and processes throughout the employee lifecycle, including HR Operations, employee relations, HRIS maintenance, recruiting, onboarding and offboarding, performance management, employee engagement, benefits and leave administration, and employee communications.
The HR Operations Coordinator works closely with HR leadership, managers, PMs, and employees located at Fibertek headquarters, customer locations, and remote worksites to ensure HR processes are completed accurately, consistently, and timely. The position also supports continuous automation improvement efforts that strengthen the employee experience and the operational efficiency of the entire company.
Essential Duties and Responsibilities
HR Operations, Records & Process Improvement
- Set-up and maintain HRIS system and assist with generating reports and analyzing HR data as needed.
- Coordinate and manage HR-related and technical training programs, including scheduling, tracking completion, and preparing regular reports on training activity and compliance.
- Enter and maintain accurate resource planning data in project and portfolio management system, ensuring up‑to‑date project assignments, capacity information, and reporting inputs for effective organizational planning.
- Provide HR operational support to employees and managers at headquarters.
- Help automate, and maintain HR records, tracking systems, organizational charts, NDA records, and other HR documentation.
Employee Support, Engagement & Communications
- Develop and maintain relationships with off-site ES employees to strengthen their connection to Fibertek and ensure they have access to HR resources and support.
- Communicate regularly with HR leadership and ES PM’s regarding remote employee needs, concerns, and HR activities, to include monthly one on ones with each PM to address concerns and needs.
- Serve as a knowledgeable HR resource and provide timely, professional assistance to ES employees and managers.
- Coordinate ES employee engagement activities, recognition initiatives, employee spotlights, anniversaries, and special events.
- Create and coordinate Fibertek’s companywide employee newsletter, including gathering information and program updates from managers and company leadership.
Administrative & Field Support
- Coordinate delivery of swag, equipment, awards, and other resources to remote ES employees when needed.
- Travel periodically to ES customer/government locations to support remote employees, and employee-engagement initiatives.
Recruiting, Onboarding & Offboarding
- Support recruiting activities, including reviewing resumes, coordinating with hiring managers, preparing offer letters, and supporting candidate communications.
- Support internship-program administration, including scheduling, coordination, candidate tracking, manager communication, and program follow-up.
- Owns the set-up, management, and coordination of career fair initiatives. Which includes, organization, support, and attendance of career fairs and other internship recruiting or employee-engagement events.
- Coordinate all new-hire onboarding activities and help ensure candidates receive required information, documentation, benefits enrollment support, and access to appropriate company resources.
- Prepare and coordinate employee offboarding documentation and support the separation process.
HR Programs, Compliance & Employee Relations
- Coordinate and support the employee performance management process, including review-cycle tracking, communications, manager and employee follow-up, completion monitoring, and reporting.
- Assist with benefits administration and employee questions regarding company benefits, policies, programs, and available resources.
- Prepare and coordinate leave-related documentation, including FMLA documentation, under the direction of HR leadership.
- Help ensure compliance with applicable federal, state, and local employment laws and regulations as well as Fibertek policies and procedures.
- Maintain the confidentiality and integrity of employee and company information.
Job Requirements:
Qualifications
- Bachelor’s degree preferred; equivalent education and relevant experience may be considered.
- Approximately 3–5 years of progressive responsibility - HR Operations Coordinator specific.
- Working knowledge of fundamental HR practices, including HRIS configuration, onboarding, performance management, recruiting, benefits, leave administration, employee relations, and HR compliance.
- Employee Relations Ambassador experience preferred.
- Experience supporting employees and managers across multiple locations preferred.
- Experience working in a government contracting, engineering, technology, or similarly regulated environment is a plus.
- Military experience working with government personnel on government facilities preferred.
- Security clearance a plus.
Knowledge, Skills & Abilities
- Strong organizational skills with the ability to manage multiple recurring processes, deadlines, and priorities.
- Strong attention to detail and commitment to accurate and timely completion of HR documentation and administrative responsibilities.
- Excellent written and verbal communication skills.
- Strong HRIS set-up and management experience.
- Strong interpersonal skills and ability to build productive relationships with employees, managers, and leadership.
- Ability to exercise discretion and maintain confidentiality when handling sensitive employee information.
- Ability to independently track assignments and follow responsibilities through to completion.
- Strong problem-solving skills and willingness to identify opportunities for process improvement.
- Comfortable working with HR systems, Microsoft Office applications, spreadsheets, databases, and reporting tools.
- Ability to analyze HR information and use data to identify trends, process delays, and opportunities for improvement.
- Ability and willingness to periodically travel to local and regional employee/customer locations.
Physical / Work Environment
This position primarily operates in a professional office environment and may periodically require travel to Fibertek, customer, and government work locations. Occasionally required to lift or carry items such as office supplies, small packages, or event materials (typically up to 10–20 lbs.). Disclaimer
The annual base salary range for this position is $70,000-$85,000. This range reflects the compensation Fibertek reasonably expects to offer for this role. Placement within the range will depend on factors such as the scope and responsibilities of the position, the candidate’s experience, education and training, key skills, and relevant market and business considerations.
