Job Description
The Professional Learning and Events Coordinator supports the administration of AAMFT’s professional learning and continuing education initiatives, including the AAMFT Continuing Education Provider Approval Program and AAMFT’s in-house continuing education activities. This role coordinates CE provider applications and approvals, reviews programs for alignment with AAMFT standards and applicable state regulatory requirements, and maintains the documentation and records necessary to support compliance. The Coordinator also assists with the administration of AAMFT-sponsored continuing education offerings and works with internal staff and external providers to ensure CE requirements and processes are followed consistently. This is a fully remote position. Candidates must reside in DC, MD, VA, DE, NC, SC, IL only.
Continuing Education
- Review state regulations yearly to ensure AAMFT maintains its status as a CE provider.
- Develop and maintain a centralized CE compliance resource, such as a comprehensive state regulatory spreadsheet or other easily accessible tracking system, that provides a one-stop reference for current continuing education requirements and AAMFT approval status across all 50 states. Maintain current information on AAMFT CE Providers and AAMFT event approval status with NASW, NBCC, and NAADAC, and regularly update the resource to reflect regulatory and compliance changes.
- Collaborate with state boards for accurate interpretations and responses.
- Provide consultation on CE applications submitted by AAMFT networks and geographic areas, offering guidance on continuing education requirements, standards, and compliance considerations as needed.
- Review and approve external CE Provider Approval Program applications to ensure continuing education activities meet AAMFT program standards and applicable state regulatory requirements.
- Event Systems Quality Control: Support the review and quality control of AAMFT event and continuing education systems, including the AAMFT APP, MOSAIC, and TopClass. During the transition to TopClass, maintain existing APP and MOSAIC processes as needed, including reviewing event information against schedules and speaker materials, creating session codes, and verifying the accuracy of event and CE information.
- Attendance Verification and CE Documentation: Verify participant attendance for AAMFT webinars and other continuing education activities and manage the distribution of CE verification through TopClass. Maintain accurate attendance and CE records and assist with troubleshooting participant verification issues. During the transition to TopClass, continue required attendance verification and CE processes within existing systems until those functions have been fully transitioned.
- Post-Event Surveys and Evaluations: Gather, prepare Creates and distributes post-event surveys and summary evaluations for all AAMFT events to specified CE Approval Agencies - gather attendee feedback. Compile and analyzes survey results to inform improvements for future events.
- Summarize speaker feedback from event evaluation data for all AAMFT CE offerings and share it with the speakers.
- Collaborate with PLE team members on event planning and logistics as needed to support the successful execution of AAMFT events and educational programs.
- Provide planning, logistical and event-day support for AAMFT live and virtual events as assigned by supervisor. Responsibilities may include pre-event preparation, coordination of event logistics, and other event-related tasks as needed.
Communication & Collaboration
- Maintain cohesive communication with central membership regarding CE offerings.
- Maintain the CE provider email inbox, providing timely responses to all inquiries.
- Collaborate with General Council/Legal Affairs and state regulatory boards to interpret continuing education requirements and support efforts to have AAMFT recognized within state regulations as an authorized entity for approving continuing education programs offered by external providers.o include webinars, in-person events.
Data Management & Reporting
- Collect and report metric updates for CE Approval Program to be used for CEO Reports, Annual Reports, Events Team updates.
- Prepare monthly CE Provider Approval Program reports tracking application volume and status, including applications received, under review, approved, denied, and pending, as well as other relevant program trends and outcomes.
Bachelor's degree or relevant work experience in a similar role is desired. Strong knowledge of state regulations regarding continuing education. Proficient in event management software and Microsoft Office Suite. Excellent communication and interpersonal skills. Ability to analyze/interpret complex regulations/data. Experience with budget management and financial reporting. Must reside in DC, MD, VA, DE, NC, SC, IL or AZ only. No phone calls please.
