About the role
This is not a traditional administrative assistant job. As the CMO's Executive Assistant, you will manage calendars, inboxes, priorities, and follow-up. You will also build the systems that keep everything moving. Two half-days per week, you will work as a Medical Assistant in the CMO's clinical sessions, supporting patient care and patient flow.
The right candidate takes ownership, anticipates needs, resolves problems independently, and knows when to escalate issues to the CMO.
Executive Assistant Responsibilities
- Manage the CMO's calendar, scheduling, deadlines, and competing priorities, and anticipate conflicts and preparation needs before they arise.
- Monitor and prioritize email and communications, track outstanding requests, and close communication loops.
- Prepare agendas and materials for meetings, and track action items, owners, and deadlines through completion.
- Build and maintain tracking systems for decisions, deliverables, and follow-up.
- Monitor clinical and operational reports, including open notes, utilization, and performance indicators, and flag overdue items and emerging issues.
Medical Assistant Responsibilities
- Provide Medical Assistant support during two half-day clinical sessions per week.
- Take vital signs, reconcile medications, and assist with in-office procedures such as Pap smears, contraceptive implant placement, and abscess incision and drainage (I&D).
- Support efficient patient flow and coordinate follow-up care.
- Help manage the CMO's clinical In Basket by reviewing, routing, and tracking incoming clinical information and escalating urgent matters.
- Review upcoming schedules and prepare charts for patient visits in line with HIPAA, privacy, and documentation standards.
Required Qualifications
- Proven ability to manage complex workflows, competing priorities, and confidential information with discretion
- Exceptional organization, attention to detail, and follow-through
- Initiative and ability to anticipate needs and move work forward independently
- Strong written and verbal communication skills
- Sound judgment about urgency, priority, confidentiality, and escalation
- Confidence communicating with colleagues at all levels and holding others accountable for deadlines
- Ability to thrive in a fast-paced clinical environment
- Commitment to culturally responsive, affirming care for LGBTQ+ and gender-diverse communities
Preferred Qualifications
- Experience supporting a senior executive, physician leader, or other high-volume professional
- Medical Assistant training or certification (CMA, RMA, CCMA) or a nursing background
- Experience in a healthcare setting, medical practice, or community health center
- Epic EHR experience, or experience with other electronic health records
- Experience creating administrative systems, workflows, or project-tracking processes
- Knowledge of HIPAA and healthcare confidentiality requirements
- Bilingual English/Spanish skills
Schedule & Details
- Job type: Full-time, salaried (exempt)
- Schedule: Mon–Wed 9 a.m.–5 p.m.; Thu 10 a.m.–6 p.m.; Fri 8 a.m.–4 p.m. No nights or weekends.
- Location: 100% on-site in Hamden, CT, relocating to New Haven, CT
- Reports to: Chief Medical Officer
