Job Description
The Human Resources Generalist plays a vital role in ensuring every employee receives a professional, organized, and welcoming experience from application through employment.
This position serves as the administrative backbone of the Human Resources department by coordinating recruiting, onboarding, compliance, benefits administration, employee records, and HR systems. The HR Generalist helps ensure our communities remain compliant with state and federal regulations while supporting managers and employees with professionalism, accuracy, and kindness.
Recruiting & Hiring
- Coordinates with Business Operations Administrator the life cycle of recruiting
- Coordinate interview scheduling with hiring managers and candidates
- Prepare offer letters and hiring documentation
- Monitor recruiting workflows within HRIS System (Paylocity)
- Coordinate pre-employment requirements including background checks, drug screenings, and reference checks
- Maintain candidate communication throughout the hiring process
- Assist managers with recruiting activities and job postings
- Job description management
Onboarding & Employee Experience
- Coordinate all new hire onboarding through Paylocity
- Assist Business Operations Administrator in scheduling and hosting orientation
- Ensure completion of I-9 documentation, tax forms, direct deposit, handbook acknowledgements, and required employment documents.
- Schedule all required trainings for staff
- Serve as the primary point of contact for new employees during onboarding
- Help create a welcoming and organized first-day experience
Employee Off boarding
- Remove employees from all benefits, software, systems, and distribution lists
- Collect all company property
- Send all offboarding information
- Coordinates employee offboarding with managers and directors and communicating departures to leadership
- Request letter of resignation
Compliance & Personnel Records
- Maintain complete and accurate personnel files, excluding payroll
- Track required licenses, certifications, TB testing, CPR certifications, food safety certifications, and other required credentials
- Monitor Assisted Living regulatory requirements for employee files
- Ensure compliance with federal, state, and company employment documentation requirements
- Assist with audits and regulatory surveys
- Maintain confidentiality of employee information
- Assist Health Services with vaccination clinics
Benefits Administration
- Developing expertise in benefits administration
- Assist employees with benefit enrollment and questions
- Coordinate annual open enrollment activities
- Maintain the benefits administration platform and related benefit records and serve as the main point of contact for all employee questions and concerns
- Assist with processing life changing events, benefits, workers' compensation and leave documentation as assigned. Including, but not limited to, FAMLI, Short Term, Long Term (medical leave) and FMLA leave
- Engage with and communicate to employees with updates and additional information regarding benefits
- 401(k) auto-enrollment processing and notifications
HR Systems & Reporting
- Maintain employee records/information within Paylocity and related HR systems
- As requested, assist Controller in updating ACA Dashboard (Affordable Care Act)
- Auditing employee job status regularly
- Assist with performance review administration, roll out and tracking
- Track training completion and compliance metrics
- Support payroll preparation by ensuring employee records are accurate and complete
Employee Support
- Respond to employee questions regarding HR policies, benefits, time off, and employment documentation
- Assist managers with routine HR processes
- Prepare employment verification requests and other employment documentation
- Mass messaging routine and sporadic updates to employees via our HRIS system (Paylocity)
- Bring forward any employee performance issues to the Human Resources Manager
Administrative Support
- Assist with HR projects and process improvements
- Maintain HR forms, templates, and standard operating procedures
- Support employee recognition and engagement initiatives
- Order HR supplies and maintain department records
- Perform other duties as assigned.
Required Qualifications
- Maintain absolute professionalism and discretion when handling confidential matters
- Associate's degree or equivalent experience
- Two or more years of administrative, human resources, payroll, or office experience
- Strong organizational and time management skills
- Exceptional attention to detail
- Excellent written and verbal communication skills
- Strong Microsoft Office and computer skills
- Ability to manage confidential information with professionalism and discretion
- Ability to prioritize multiple projects while meeting deadlines
Desired Qualifications
- Bachelor's degree in Human Resources Management, Business Administration, or related field
- Previous Human Resources experience
- Experience with HRIS systems (Paylocity preferred)
- Knowledge of Colorado employment practices
- Experience in healthcare or senior living
- Fluent in Spanish
